Executive Assistant to the President
Responsible for managing the day-to-day administrative functions of the Foundation Office. Functions as an extension of the President by anticipating needs and proactively addressing issues with an emphasis on sound judgment, initiative and confidentiality. This position facilitates execution of the President's daily activities. Candidate will be primarily responsible for drafting & editing correspondence (including dictation); assisting with special events; database maintenance; managing lists; filing documents; reception; volunteer management; and providing feedback on fundraising materials.
Must be able to communicate successfully with external entities including Board Members, Committee Members, Current & Potential Donors, Vendors, Sponsors and all other Key Stakeholders of the organization.
Duties and Responsibilities:
- Manages correspondence from the President. Follows up with Board Members and other constituencies, as appropriate.
- Manages database of contact information and hard copy filing system.
- Communicates daily with the President about day's needs
- Advises the President on organizational and board-related priorities as appropriate and drives and supports necessary content preparation
- Monitors internal and external deadlines for the President and provides appropriate reminders.
- Manages special projects as needed including but not limited to special events, meetings, and other tasks as requested by the President.
- Plans and executes quarterly board meetings in collaboration with the Executive Team, and manages the production and organization of board meeting materials.
- Exercises discretion and independent judgment in the responsibilities associated with managing operations in the President's Office.
- Works cooperatively, respectfully, and collaboratively with other employees and volunteers; functions as a team player; and accepts constructive suggestions for improving job performance from Executive staff.
- Maintains regular and consistent attendance.
- Creates Monthly E-Newsletter.
- Assists with Social Media.
- Proofreads E-Communications.
- Performs other reasonably related duties as assigned.
Education and Experience:
- Bachelor's Degree
- Experience working in support of a senior leader in management, operations, communications, advocacy or policy role; or equivalent combination of education and experience.
- Familiarity with communications, philanthropy, public administration and the nonprofit sector preferred.
- Experience in patient advocacy strongly preferred.
Knowledge, Skills and Abilities:
- Proven ability to multi-task and prioritize responsibilities
- Excellent attention to details and conscientious in adhering to deadlines and deliverables
- An independent thinker who can bring the maturity, initiative, creativity, energy, discipline and commitment needed to support the President
- A high-level performer with the ability to be proactive and respond rapidly to changing conditions
- Highly collaborative with an appreciation of the benefit of a team approach; demonstrated ability to work with and function as part of a team
- Ability to "manage-up" as needed in setting deadlines and deliverables
- Strong organization and creative problem solving skills
- Strong oral and written communication skills; experience using social media for non-profits or professional purposes
- Skilled at dealing with internal and external partners respectfully, professionally and with diplomacy and tact
- Ability to work flexible hours, including evenings and weekends as needed
- Highly discrete and able to be trusted with confidential information relating to the organization and its staff
- Personable, productive, organized with a "can-do" attitude.
- Strong proficiency with Microsoft Word, Excel, and Outlook.
