Secretary & Administration Assistant
To provide comprehensive, effective and efficient secretarial administrative support services to the Deputy Director General and Director of Research.
Key Responsibilities
- Provide secretarial and administrative support to the Deputy Director General, Director of Research, and Administration and Operations Unit.
- Assist with the day to day office communication and distribution of incoming and outgoing mails by routing it to the appropriate personnel.
- Take meeting minutes and active follow-up on agreed actions items.
- Assist to schedule / coordinate internal appointments and business meetings.
- Prepare travel itineraries, logistic arrangements and related documentations.
- Draft routine correspondences and translate Bahasa Malaysia correspondences to English.
- Assist the Compliance and Administration Manager on BoT matters as appropriate.
- Co-ordinate budget and FTE activities for the Deputy Director General and Director of Research.
- Ensure file management and maintenance are done properly.
- Provide support to the procurement officer and administration executive as and when necessary.
- Assist in coordination of trainings, workshops, seminars and conferences.
- Other tasks as assigned from time to time.
Skills and Qualifications
- Bachelor Degree / Diploma in Business Administration / Communication / Secretarial or relevant field.
- Minimum 4-5 years’ working experience in relevant capacity, with a 2 years’ experience in dealing with senior and middle level management.
- Experience in dealing with sensitive and confidential correspondences and information.
- Advance skills in MS office applications and related software and database.
- Excellent interpersonal skills and able to work in a team-oriented multi-cultural environment.
- Ability to work with minimum supervision and within tight deadlines.
- Excellent verbal and written English communication skills.
