Bookkeeper

JOB SUMMARY:
The Bookkeeper will provide administrative support to the Director of Finance & Operations, the Senior Officer Finance & Operations and the HR Advisor, and work on cross-team projects under the supervision of the Senior Officer Finance & Operations. The Bookkeeper, as a member of the Finance sub team, plays a leadership role in implementing structural, administrative, and technical improvements to the Finance and Operations team. The Bookkeeper may also be responsible for coordinating special projects to achieve administrative goals.
ESSENTIAL JOB FUNCTIONS:
A. Administrative support to the Senior Officer Finance & Operations and the Director of Finance & Operations, for example:
Process financial data in the organisation's financial administration (accounts payable, accounts receivable, banks, general ledger);
Process donations in the CRM and grantmaking database Salesforce;
Prepare, processes and monitors monthly collection orders;
Monitor payments to creditors (bank information, etc.) and prepares invoices/grants/expense accounts for payment;
Reconcile bookkeeping records (ledger account) and subsidiary administrative systems, such as donors, creditors, and assets;
Initiate, develop and prepare monthly and quarterly financial overviews (income and expenditure, financial indicators);
Monitor loans by individuals;
Archive financial source documentation;
Responsible for petty cash (disbursement and documentation/registration)
Assist with the preparation of the annual accounts;
Assist with the preparation of budgets;
Assist with the preparation of financial (institutional) donor reports;
Follow up on funds made payable by institutional donors;
Initiate and lead structural, administrative, and technical improvements for the administration processes and team infrastructure;
May coordinate special financial-related projects.
B. Administrative support to Human Resources, for example:
Transmit information about salary transactions, received from the HR Advisor to external salary administration;
Transmit staff members' transactions to the pension fund and other social security and insurance payments;
Transmit staff members' transactions in several database;
Administrative support with Tax-, UWV- and other applications.
ORGANISATIONAL RELATIONSHIPS
Internal Relationships.
This position reports directly to the Senior Officer Finance & Operations.
The position requires liaising with all staff to advise on finance issues.
External relationships.
The Bookkeeper will have periodic contact with donors, salary administration, institutional partners, vendors, banks and consultants.
KNOWLEDGE, SKILLS, AND ABILITIES:
Commitment to the mission and goals of Mama Cash;
Strong administrative skills;
Proven bookkeeping knowledge;
Extensive knowledge of Exact, Excel and Excel Add-Ins;
Bilingual fluency in oral and written English and Dutch required and regional language (ex: Dutch, Russian, French, Spanish, etc.) preferable.
Attention to detail;
Good public relations skills;
Team player.
EDUCATION AND EXPERIENCE:
Minimum 2 years substantive professional experience in working as an administrative associate, preferably in a nonprofit setting;
Completed secondary vocational education (Dutch MBO level or equivalent) (in the area of bookkeeping) or MBA and/or relevant work experience;
Familiarity with relevant financial and other applications and IT software/packages;
Familiarity with administrative procedures and relevant legislation;
Familiarity with and insight into administrative processes and the functioning of the department(s), as well as a good command of the general principles organisational administration.
