HRIS Project Manager

About the role

Plan delivers its work through some 7,500 men and women who work in the countries of operation, regional and headquarters. We are looking to scope and implement the purchase of a new Human Resource Information System to reach every Plan International Inc office. The purpose of this post is to lead the procurement and delivery of this project over the coming 5 years.

Main responsibilities

Global Management of a budget of £200,000 in year one and c.£2m pa subsequently Reporting quarterly to a 6-person cross-Plan Steering Committee on project progress with clear management of risk

  • Management of the work of the Project Working Group to deliver a project that is achieved on time and on budget
  • Liaison with 50 Country Directors, 4 Regional Directors and up to 20 National Organisations, and various People and Culture staff
  • Leadership of the Project delivery team

The Project Implementation will be designed and rolled out on time and in budget with the fullest possible consultation with all parts of Plan:

  • The HRIS Working Group and sub groups will be established and working well
  • Designs will be outlined and comments received
  • Periods of consultation will be clear
  • Responsibilities of managers across Plan in engaging will be agreed and sustained
  • Agreed Project workplan and budget will be developed (end of 1st Qtr) and agreed with SC.
  • Reports on Project plan will be reported to SC as agreed
  • Financial monitoring will be accurate

A compatible and cost-efficient global Human Resources Information System (HRIS) for Plan International is procured that meets the organisations need for the coming 10years

  • Working with an external consultancy, develop a Request for Information (RFI) that can be used to short-list potential Suppliers.
  • Develop a Requirement for Proposal (RFP), sometimes called an Invitation to Tender, including a detailed requirement specification that can be sent to short-listed Suppliers. The detailed requirement specification that must include: Functional Requirements; Technical Requirements; and Ongoing Support Requirements.
  • Develop a pricing schedule that short-listed Suppliers must complete. This will be used to compare the total cost of ownership for all solutions.
  • Define and manage the detailed selection process.

All contracts related to the Project will be legally compliant and protect Plan’s interests

  • Work closely with the selected Supplier and the internal legal team to agree a detailed contract ensuring protection on contract schedules.

A Team of permanent hires, contract staff, secondments, and supplier’s staff will be built to ensure successful delivery

  • The team is structured for success.
  • Team members are recruited, trained and supervised in a highly professional manner.
  • The terms of engagement (contracts, JDs etc) are clear aligned with project outputs and lead to effective delivery

About you

Knowledge

  • A project management designation (Prince2, PMP or equivalent)
  • Proven track record of managing large, multi-stakeholder projects
  • Knowledge of current large HRIS systems
  • Knowledge of SAP systems an asset
  • Implementation of HRIS systems in a large multi-national, multi-lingual organization would be an asset.
  • Experience in working in an INGO environment, an asset.

Location and Travel

The post is based at Plan International Headquarters in Woking with 30% International Travel.
