Finance and Administration Assistant

BACKGROUND

With funding from the United States Agency for International Development (USAID), the International Youth Foundation (IYF) is working in partnership with the Jordanian Ministry of Social Development (MOSD) to design and implement Youth:Work Jordan (YWJ) - a five year holistic youth development program to improve social services and protection for vulnerable populations, with an overarching focus on youth employability and civic engagement. YWJ will achieve this goal through the delivery of comprehensive community based activities to meet the needs of disadvantaged youth between 5 and 24 years of age that fall under four components: 1)Increased Youth Access to Market-Driven Life, Employability, and Entrepreneurial Skills Training; 2) Provision of Youth Friendly Services; 3)Expanded Civic Engagement of Youth; and 4) Policy Coordination.

JOB RESPONSIBILITIES

Accounting/Finance

  • Provide assistance and support in the areas of finance and administration to the IYF Jordan satellite offices including, but not limited to, the following tasks:
  • Conduct financial field visits to the satellite offices in the local communities when necessary.
  • Support technical team in their financial tasks as needed, e.g. advances, expense reports, procurement, etc.
  • Maintain finance and administration files on satellite offices including vendors, procurement, accounts payable, employee expense reports and advances, etc.
  • Assist with monitoring physical inventory checks during year-end closing and other needs.
  • Assist with ensuring compliance with established policies and procedures.
  • Perform duties as assigned in the following areas:
  • Assist with maintain finance and accounting files and other documentation serving as evidence of transactions, specifically vendor and procurement files.
  • Assist with receiving bank account statements, specifically preparing bank reconciliations for review.
  • Assist with month-end closing and year-end duties such as reconciliations, VAT reimbursements, inventory lists, etc.
  • Assist with staff payroll, collection of timesheets and issuance of pay slips on a monthly basis, specifically with satellite office staff.
  • Provide assistance to technical program team in coordinating purchasing and procurement activities in accordance with IYF policy, including contacting vendors, obtaining quotes and offers, preparing cost and quality analyses, and matching up invoices and receipt documentation for payment purposes.
  • Responsible assigned accounts payable function and cash disbursements in accordance with financial policies and procedures.
  • Process employee expense reimbursements.
  • Prepare cash receipts (e.g. checks and cash) for bank deposit to local branch.
  • Provide assistance to Finance & Administration Manager in budget preparation, cash flow forecasting and cash management, specifically for satellite offices.

Office Operations/Administration

  • Assist in all matters related to the operations and administration of the Jordan satellite offices.
  • Assist in managing the office space needs of satellite offices.
  • Assist Finance & Administration Manager in the coordination of information technology needs of satellite offices and staff.
  • Maintains Jordan office files, specifically for satellite offices.
  • Other duties and tasks as assigned by the Finance & Administration Manger, providing assistance and support to other Jordan staff members based in Amman and satellite offices.


SUPERVISOR
Supervised by Finance and Administration Manager based in Amman, Jordan.

QUALIFICATIONS

  • Minimum of a bachelor’s degree in Accounting, plus 1-3 years of relevant work experience.

  • Thorough knowledge of complete accounting cycle is required.

  • Strong analytical ability; accuracy with numbers; and extreme attention to detail.

  • Excellent computer skills using MS Office Suite and experience with computerized accounting systems required. Knowledge of QuickBooks multi-currency accounting software (field based accounting) preferred.

  • Excellent time management; ability to prioritize, multi-task and follow through.

  • Knowledge of USAID compliance rules and regulations preferred.

  • Excellent oral and written English and Arabic fluency required. Proficiency in other language a plus
