The PATH Malaria Vaccine Initiative (MVI) is a focused vaccine development program created in 1999 through a grant from the Bill & Melinda Gates Foundation. The MVI mission is to accelerate the development of promising malaria vaccines and ensure their availability and accessibility in the developing world. To accomplish the first part of its mission, MVI is identifying the most promising vaccines and technologies and implementing targeted partnerships with scientists, vaccinologists, and development projects. MVI works to link government, industry, and academia partners with field trial sites in malaria endemic countries as early as feasible in the development process. MVI’s Executive Assistant will provide high-level administrative support to MVI’s Director and Leadership Team. Responsibilities and duties will include:

  • Provide operational support to the Director including managing sensitive internal and external correspondence, compiling and organizing relevant background materials, and handling complex calendar and international travel arrangements.
  • Coordinate with internal contacts and external global stakeholders to prioritize and schedule meetings.
  • Provide appropriate administrative support on sensitive and confidential issues and help manage the flow of activity on actions originating from the office of the director.
  • Coordinate high-level conferences and meetings at the request of the Director, including issuing invitations, arrangements for guests, venue selection, meeting rooms, AV, and communications.
  • Support the Director in managing and fulfilling his role as PATH Malaria Vaccine Initiative representative to local and international organizations.
  • Assist in development and maintenance of information management systems within MVI, such as Access, SharePoint, SalesForce, and filing systems.
  • Provide operational support for MVI’s leadership team (LT), including scheduling meetings, preparing agendas, and recording meeting minutes and managing the LT SharePoint site.

  • Proven effectiveness in prioritizing competing demands, maintaining confidentiality, and in adapting easily and quickly to changing priorities.
  • Collaborative working style with the ability to independently initiate and coordinate projects.
  • Proven experience supporting high-level projects and exercising appropriate discretion.
  • Proven success in drafting and editing documents; proofreading abilities a plus.
  • Demonstrated ability to create and maintain tracking and data management systems.
  • Excellent computer skills using MS Office Suite; proficiency in SharePoint highly desired.
Required Experience

Associate degree, plus a minimum of four years of directly related experience; or an equivalent combination of education and experience is required. Bachelor degree is preferred. Must have experience working in a professional environment with science or business oriented experience preferred.
