Job Description

The Finance & Accounting Assistant’s main responsibilities will include record keeping of all the site’s office financial transactions, Administrative and HR support services to Site Administrator (SADM) (including inventory management) and handling petty cash and cheque payments. S/he will also assist the SADM with the processing of country office’s monthly reports including bank and advance accounts reconciliation and field office’s financial report.

  • Ensure that monthly journals are processed in line with PATH financial management policy.
  • Assist with the development and submission of the country office's quarterly cash projection requests.
  • Reconcile clearing accounts monthly.
  • Assist the SADM during audit.
  • Collect cash from suppliers/vendors and deposits to the bank timely.
  • Ensure that all for payments, travel advances, staff claims, journals and purchase/work orders have complete, bona fide, and legitimate supporting documentation ensuring that all transactions are properly authorized before payments are to be made.
  • Prepare the original complete set for shipping to International Accounting Services (IAS) Department with the monthly Field Office Financial Report (FOFR).
  • Maintain books of accounts for Check register, Cash receipt, Advances, Accounts payable (supplies and utilities), Withholding tax payments, Statutory payments.
  • Prepare monthly payroll for review and signature.

Required Skills
  • Strong accounting skills and good knowledge of local accounting practices and tax laws
  • Proficiency in MS Office applications; Excel and Quickbooks is a must
  • Demonstrated excellence in organizational and interpersonal skills
  • Good working knowledge in oral and written communication skills in English
  • Demonstrated ability to work in a team environment
Required Experience
  • Bachelor's degree in Accounting/Finance
  • Minimum of five years experience in administrative and financial coordination and management
  • NGO experience and knowledge of USAID rules and regulations will be an added advantage
