The Livestock and Irrigation Value-Chains for Ethiopian Smallholders (LIVES) project is an initiative designed by ILRI, IWMI (the International Water Management Institute) and their Ethiopian partners to enhance income and gender equitable wealth creation for smallholders and other value chain actors through increased and sustained market off-take of high-value livestock and irrigated crop commodities. It will design and implement interventions to improve market orientation of semi-commercial farmers for enhanced competitiveness, sustainability and equity in value chains in four regions of Ethiopia.
The positions: ILRI is recruiting 1 (One) Program Assistant position who will be based in Addis Ababa and 4 (Four) Regional Administrative Assistants positions based in Amhara, Oromia, Southern Nation, Nationalities and People’s Region (SNNPR) and Tigray, who will be members of the LIVES Project in ILRI-Ethiopia.

Main Duties:

  • Acts as the primary point of contact for all issues related to the project
  • Supports the Programme Coordinator (PC) in the development of budgets for LIVES
  • Monitors the LIVES budget and ensures quarterly financial reports are prepared accordingly by the Finance unit and advices the PC and project manager on adjustments when necessary
  • Manages and tracks project finances – expenditures, reversals and summarizing
  • Ensures timely financial reports are submitted to the donor
  • Financial management including petty cash, reviewing and checking expenditure reports from the regional offices and project partners
  • Office management, including phone calls, filing system, visitors, arranging appointments, local & international travel, maintaining attendance sheets, casual staff
  • Organizes meetings, workshops, trainings & providing logistical support
  • Assists in the preparation of project management documentation such as work breakdown structure and Gantt charts
  • Maintains a database for students sponsored by the Project and project outputs and immediate outcomes
  • Uploads reports and other documents on the project website
  • Liaises with senior staff to organize logistics of visits to Project sites and being generally responsible for the administrative aspects of such arrangements including advances and claims
  • Procurement and maintenance of project equipment
  • Liaises with all ILRI administrative units, projects and support units to deal with LIVES administrative matters
  • Oversees use of the project assets (including vehicles) and reports to the PC
  • Performs any other duties as required

Minimum requirements:

Education:

  • University Degree or equivalent in Business Administration, Business Management, Economics, or a related discipline. Post-graduate training would be an advantage

Experience:

  • At least 5 years of experience, (preferably in an international organization), in activities such as budget preparation and finance management, organization of meetings and workshops, day-to-day operations of the office, compilation of technical and/or financial reports

Skills:

  • Excellent interpersonal skills. High level of energy and motivation to achieve quality outputs. Excellent oral and written communication skills. Fluency in English and expertise in computer software (Word, Excel, PowerPoint).

Minimum Base salary:
Birr 10,413.00

Terms of appointment: Initial appointment is fixed term for two years with the possibility of renewal, contingent upon individual performance and the availability of funding. The ILRI campus is set in a secure, attractive campus on the outskirts of Addis Ababa. Dining and sports facilities are located on site.
