Position Responsibilities:
Under the supervision of both the Director of Programs and Director of Administration and Finance, the Senior Administrative Assistant performs skilled secretarial and administrative assistance duties for both supervisors that typically involve a group of related and similar programs. 
The responsibilities of this position include but are not limited to:
  • serves as the personal secretary to management, including answering telephone calls; handling visitors; scheduling; receiving and relaying messages; handling requests for information and assistance; and transcription of notes and reports;
  • attends to administrative and clerical detail utilizing initiative, problem analysis techniques, good judgment and confidentiality;
  • maintains expenditure records of office/unit budget; prepares and coordinates budget transfer requests as necessary; tracks expenditures from each budget line item;
  • prepares and processes all purchase orders; verifies amounts to pay partial and final invoices; maintains accurate records of all payments;
  • prepares locations (logistics) for meetings; arranges for necessary materials and refreshments;
  • establishes and maintains a variety of office filing and record-keeping systems including inventory data collection systems;
  • gathers, reviews, and compiles information and prepares accurate and comprehensive reports and surveys with deadlines as assigned.


Position Qualifications:
 
Minimum Education & Experience:
  • Bachelor’s degree or equivalent, or high school diploma/degree with 2-5 years of experience;
  • Fluency in English required, working knowledge of French a plus;
  • Knowledge of office practices, and procedures, including filing systems, correspondence, standard English usage, spelling, grammar, and punctuation;
  • Advanced computer skills, including Microsoft Office applications, and ability to carry out oral and written directions; make decisions independently; communicate effectively; establish and maintain cooperative working relationships; and to prepare correspondence independently;
  • Be flexible and receptive to change.
This position is full-time and subject to available funding. There is no minimum period of employment. ASLM may terminate employment at any time due to funding, or for any other lawful reason.
