Director of Administration

AIDS Healthcare Foundation is looking for a Director of Administration at the Europe Bureau office in Amsterdam: a mission-focused, strategic, inspirational and a process-minded leader with experience in scaling up operations of an organization; enhancing a performance culture among a group of diverse, talented and dedicated individuals across the region. Essential Duties & Responsibilities include but not limited to:
- Working in partnership with the Europe Bureau team and Headquarters in the US, create strategic operational plans and implement new processes and approaches to achieve it;
- Lead the preparation and submitting of an annual operational budget, work with country teams to manage effectively within this budget, and to report accurately on progress made and challenges encountered;
- Ensure the continued financial viability of the bureau’s operational programs through sound fiscal management;
- Identify policies and standard operating procedures that are required for efficient and effective performance of programs; develop/improve and implement standard operating policies and systems in relation to procurement, supply chain and logistics management and assets management;
- Cultivate the values and mission of AHF within the organization;
- Together with the Headquarters HR department, instill a “coaching” culture within the Bureau; upgrade human resources functions including: training, development, compensation and benefits, employee relations, performance evaluation and recruiting;
- Work with the finance and budget departments at Headquarters to ensure financial information enables strategic budgeting and monitoring of financial performance vs program;
- Identify best practices and improve internal systems with an eye toward future needs and budget realities;
- Work closely with the finance team and Country Directors/Managers in the budgeting process, mentor and support staff in this area;
- Manage and cultivate existing relationships with partners to secure and expand programs.
Key Qualifications:
As a prerequisite, the DA must believe in the core values and management philosophy of AHF and be driven by the mission of the organization. The candidate should demonstrate a passion for breaking new ground to lead change. Beyond that, the candidate should have proven experience in scaling a multi-site organization and demonstrated ability to both lead and build the capabilities of a driven, bright and diverse team.
The DA must have management experience within a not for-profit or for organization or similar organization and experience in managing a “values-driven” organization.
Additional requirements include:
- Results - proven track record of exceeding goals; evidence of the ability to consistently make good decisions through a combination of analysis, wisdom, experience and judgment;
- Teamwork - works collaboratively with colleagues to achieve organizational goals, solicits input by genuinely valuing others’ ideas and expertise, is willing to learn from others, places team agenda before personal agenda, supports and acts in accordance with final group decision, even when such decisions may not entirely reflect own position, shares credit for team accomplishments and accepts joint responsibility for team shortcomings;
- High level of business acumen - including the ability to balance the delivery of programs against the realities of a budget; and problem solving, project management, and creative resourcefulness;
- General Management - thorough understanding of finance, systems and HR; broad experience with the full range of business functions and systems, including strategic development and planning, budgeting, business analysis, finance, information systems, human resources, and marketing;
- Strategic vision and ability to think strategically, anticipate future consequences and trends, and incorporate them into the organizational plan;
- Capacity Building - ability to effectively build organization and staff capacity, developing a highly productive workforce and the processes that ensure the organization runs smoothly;
- Action Oriented - enjoys working hard and looks for challenges; able to act and react as necessary, even if limited information is available; not afraid to take charge of a situation; can overcome resistance to leadership;
- Solid educational background - undergraduate degree required with MBA or similar advanced degree.
Qualifications:
- 5-10 distinguished years in a senior management position in a non for profit organization, civil society or similar organization; experience working at the US - headquarter organization is a plus;
- Advanced degree or MBA degree;
- Track record in delivering exceptional results, commanding respect, and assuming leadership roles;
- Success in roles requiring execution of multiple tasks while responding to multiple priorities;
- Proven ability to work with efficiency, flexibility, and good humor;
- Operates with excellence in mind in all matters, with the confidence to defend/debate ideas without ego interfering;
- Outstanding communication and interpersonal skills are essential;
- Passionate about AHF’s Nonprofit’s mission and impact;
- Ability to exercise tact and diplomacy in organizational settings;
- Transparent, direct, with substance;
- Remain focused in the face of pressure, delivers against timelines, not intimidated by tasks/time limitations;
- Fluent (native) in English, Russian language is a plus.
