Objectives

Under the immediate supervision of the HR Records Section Head and the overall supervision of the Division Manager CHRM2, the incumbent’s role will be to implement support and facilitate the various steps in addressing staff queries regarding various aspects of Human resources services in the Bank in order to ensure efficient clients services:
In addition, He/She will develop, maintain and modify a system and procedures for the filing and management of confidential personnel files, individual staff-related documents, correspondence, circulars, policy documents, etc. to permit easy and timely retrieval; ensure consistency of master data; provide historical and statistical Human Resources data on staffing, and recruitment and others.

Duties and responsibilities

The Operations assistant will work under the guidance and supervision of the Division Manager.
  • Maintain records of all permanent employees to ensure up-to-date information on each with respect to assumption of duties, transfers, employment terminations, personal data changes, promotions, administration of dependents etc.
  • Recording and filing various memos, evaluation forms and results, action forms, loan requests, sick leave certificates, circulars etc.  and all other pertinent information on individual staff files
  • Assist in the development and the maintenance of Knowledge and Record systems (DARMS, SharePoint) and Procedures for the filing and management of confidential personnel files
  • Maintain the database of all employees and positions in the Bank
  • Collecting approved HR decision for personal changes, update HR master data and follow up until completion
  • Ensure the quality insurance control for the maintenance of personnel records and HR Master Data
  • Management of organizational structure and positions and support for position budgeting control in liaise with COPB
  • Perform periodic reconciliation of the data recorded in the system
  • Creation of analytical models using applications or spreadsheets
  • Compile and maintain statistical records on staffing
  • Draft a variety of HR reports in different HR business areas (Recruitment, career development, staff planning, personal administration, etc.)
  • Participate in projects of the Division related to improving the quality of data on staff or improvement and automation of periodic reports
  • Assist, as appropriate, to carry out various activities of client management

Selection Criteria

  • Minimum of a Bachelor’s Degree or its equivalent in Human Resources Management, Information Systems, Business Management or other related disciplines.
  • Preferably minimum of (5) years of relevant practical working experience. Experience in SAP Human Resources Management and Human Resources Information Systems is an advance. 
  • Strong analytical and organizational skills, and proficiency in the use of Bank standard software (Word, Excel, Access, PowerPoint, and web tools), preferable experience of SAP Human Capital Management HCM
  • Excellent knowledge and a good mastery of spread sheets, database software and related tools
  • Ability to be multi-tasking, compile, organise and prioritise under pressure with minimal supervision within a multidisciplinary and multicultural team
  • Have a strong sense of rigor and accuracy, be proactive in implementing control and verification activities
  • A high sense of initiative, enthusiasm and good team spirit, good organizational and interpersonal skills are strongly desired.
  • Ability to communicate orally and in writing in English and/or French with a working knowledge of the other language.
