Salary:£31,161 gross starting salary per annum, (consisting of: basic salary £26,826, London weighting £2,100 and bonus £2,235). Plus discounted health care plan.

The Embassy of the United States of America, London, is in search of a Human Resources Assistant with excellent organizational skills.
This position provides Human Resources and Development (HRD) support to 44 International Cooperative Administrative Support Services (ICASS) serviced United States Government (USG) agencies and offices residing in the United Kingdom, including Consulates in Belfast and Edinburgh.
In your role as HR Assistant, you will assist two United States Direct Hire (USDH) Human Resources Officers (HROs) and the HRD section, which is comprised of 12 Locally Employed (LE) Staff and one Eligible Family Member (EFM), with a variety of administrative duties. You will serve as a key conduit for communication, both within HRD, and for HRD activities impacting all reaches of the Mission community.
Duties include, but are not limited to:
  • greeting customers who visit HRD;
  • answering the HRD main telephone number;
  • directing client enquiries to HRD program specialists and/or deals with the myriad of requests for information across the full range of HRD activities;
  • scheduling of appointments;
  • managing, processing of personnel actions, correspondence, staffing data;
  • managing the Summer / Winter Hire Program;
  • processing Electronic Questionnaire for Investigations Processing (eQIP) requests for all American employees (including local hires);
  • managing the Bidding Cycle process for Department of State (DOS) employees;
  • performing additional personnel duties as required.
The incumbent of this position must obtain and maintain a top secret security clearance in order to undertake the full duties and responsibilities of the position.

EDUCATION: U.S. High School diploma, plus one year of college, or an equivalent academic qualification is required.
EXPERIENCE: Progressively responsible work experience to have included customer service responsibilities with an administrative / clerical focus is required.
LANGUAGE: Level IV (fluent) written and spoken English is required.
JOB KNOWLEDGE: Knowledge of office management and core administrative procedures is required. A good working knowledge of Microsoft Office Suite is required. Excellent knowledge of grammar, spelling, punctuation, and required formats to recognize and correct such errors in correspondence, reports and telegrams is required. Understanding of the importance of excellent customer service and the fundamental principle of confidentiality necessary in a HR office environment is required.
SKILLS AND ABILITIES: Must have excellent organizational skills with the ability to prioritize own workload and work under pressure. Considerable tact and ability to maintain confidentiality is required when addressing employee enquiries / concerns. Ability to learn and apply DOS specific computer programs such as WebPass, EAPS, eQIP, including how to independently research information, navigate the intranet, internet is required. Ability to interpret and apply official documents, legislation is required. Must draft correspondence in a clear, concise and grammatically correct manner. Ability to communicate effectively with all levels of staff is required. The ability to work accurately and to pay attention to detail is a must.
