£31,161 gross starting salary per annum, (consisting of: basic salary £26,826, London weighting £2,100 and bonus £2,235). Plus discounted health care plan.
Embassy London’s Health Unit (HU) and London Medevac Center (MC) is at the center of Embassy operations and serves diplomatic staff – the clients – not only in the United Kingdom, but also as a medical evacuation Post for the Middle East, Eastern Europe and much of Africa. It is a section that strives to promote and protect the health and well-being of the American diplomatic community.
We are now seeking a motivated, professional Administrative Assistant to support the HU, which is the home office for 2 Regional Medical Officers (RMOs), 2 Foreign Service Medical Practitioners (FSHPs), 2 Regional Psychiatrists (RMO/Ps), 1 Nurse Practitioner (NP) and 4 Registered Nurses (RNs) and an Administrative Medevac Coordinator.
At its’ core, this position is all about positive interaction with a wide customer base. We are looking for a skilled communicator with outstanding interpersonal skills, who places customer satisfaction and medical confidentiality as their highest priority. As the first point of contact for patients and visitors, both by telephone and in person, you will be working independently to perform a wide range of clerical, administrative and office management duties in support of our primary care practice and Medevac Center. You will be an integral part of the team and will have opportunities to help develop and improve administrative processes in the Health Unit.
Among other duties, the job will entail:
  • performing triage of telephone calls;
  • maintaining appointment schedules for all providers;
  • preparing and maintaining patient medical files to include filing of reports, faxing reports to consultants and the Bureau of Medical Services (M/MED); and
  • maintaining and reporting monthly statistics for M/MED and the International Cooperative Administrative Support Services (ICASS) Council.

QUALIFICATIONS REQUIRED

EDUCATION:
4 GCSEs, High School Diploma or an equivalent academic qualification is required.
EXPERIENCE:
Work experience in a confidential work environment as an office manager/administrative assistant/personal assistant is required.
LANGUAGE:
Level IV (fluent) written and spoken English is required.
JOB KNOWLEDGE:Proficiency in MS Word, Outlook, Excel, Publisher, Share Point and Power Point is required. Proficiency in creating and using Mail-Merge documents is required. Basic knowledge of medical terminology regarding routine/common in-patient or out-patient tests, procedures and pharmacological agents is required.
SKILLS AND ABILITIES:
Basic computer skills are required. Typing speed of at least 40 words per minute is required. Strong interpersonal skills for greeting clients, telephone etiquette and strong customer service skills when managing challenging/demanding clients are required.
