We are looking for an efficient administrator to provide expert support to our Coffey Information office based in East Tamaki - Auckland, New Zealand.

The role
Reporting to the Lab Manager/Service Line Manager, the objective of the Administration Assistant is to provide efficient and effective administration support to the East Tamaki, Tauranga and Christchurch offices.
Key responsibilities include, but are not limited to:
  • Co-ordinate maintenance of office equipment.
  • Ensure office security systems are maintained as appropriate.
  • In conjunction with Finance Department raise purchase orders and maintain PO register following company procedures.
  • Manages the front desk reception/front office
  • Meets and greets visitors.
  • Enters technical data into QestLab.
  • Report Preparation – including photocopying & binding, scanning, PDF’ing
  • Other administration duties as required.
  • Maintain appropriate supplies at cost effective rates of kitchen supplies – tea, coffee, etc.
  • In conjunction with the Admin Manager NZ facilitate building repairs and maintenance.
  • Manage and maintain daily back-up tapes where applicable.
  • Facilitate and co-ordinate staff inductions as per company policy.
The person
The successful candidate will be a keen and enthusiastic, mature minded individual with a passion for administration. Having demonstrated experience in supporting an office with administrative responsibilities, you will be switched on and be able to provide effective support in an environment of constantly changing deadlines. Your well developed skills in the Microsoft Office suite, particularly Word, and web based technology will be complemented by your attention to quality and detail.
The ability to provide outstanding customer service is also vital to this role. As a result of your well developed organisational and time management skills, excellent written and verbal communication skills, combined with a professional demeanour will be essential.
Knowledge of the general construction sector in NZ is not essential but would be looked upon favourably.
