The role
Under the direction of the Manager NSW/ACT Coffey Projects, this role will see you manage the administration team in facilitating the efficient and effective management of the office in accordance with company procedures.
Your key responsibilities will include:
  • Providing high level support to senior managers including diary management
  • Execute facilities management tasks which effect office operations including security requirements, telecommunications, IT procurement, furniture and general building maintenance
  • Coordination and preparation of submissions, tender documents, reports and presentations
  • Manage administrative systems and procedures to ensure appropriate support for 60 staff and the smooth operation of the office
  • Supervise OH&S requirements in the office including distribution of PPE, coordinating, training, updating registers and ensuring compliance with OH&S policies and procedures
  • Coordinating and scheduling employee events and organising of client functions
  • Managing travel arrangements and oversee the purchasing of office consumables such as stationery
  • Assisting the Business Development Manager in the development and distribution of marketing collateral and the maintenance of SharePoint sites
  • Provide leadership and mentoring to Administration team
The person
To ensure your success in this critical role, you will need to demonstrate experience in managing a corporate office environment. As an effective and professional communicator you will have highly developed interpersonal and mentoring skills; excellent time management and prioritising skills and a high degree of flexibility, initiative and attention to detail. Proficiency in MS Word, Excel and PowerPoint are essential. Experience in Viso will be highly regarded.
