Length of hire: Temporary position not to exceed one year from the date of hire.

The U.S. Embassy in Brasilia is seeking an individual for the position of Administrative Assistant in the United States Agency for International Development (USAID).

Basic Function of Position

This is an administrative and clerical position. The incumbent serves as administrative and clerical support person to the USAID/Brazil Health Program and to the Mission General Development Officer (GDO), and as back-up to the Secretary to the Mission Director. He/she performs a full range of clerical and procedural services, while also carrying out administrative functions such as the preparation of agendas and background materials for official travel by USAID/Brazil staff and VIP visitors. In addition, the incumbent serves as the USAID controller for non-expendable property (NXP).

Qualifications required

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.

Education: College or university studies in administration, international cooperation, program implementation or any discipline related to the social sciences or the liberal arts is required.

Experience: progressively responsible prior experience in administrative work or in any area related to international cooperation and program implementation is required.

Language: Level IV (Fluent) in both written and spoken English and Portuguese is required. Language proficiency will be tested.

Knowledge:

- Office operations in a fast-paced and very busy environment;

- Understanding of general administrative practices;

- Understanding of protocol policies and procedures;

- Familiarity with the GOB hierarchy.

Skills and Abilities:

- Excellent MS Office computer skills;

- Typing level II (30-59wpm);

- Well developed abilities to work with procurement, inventory and financial data;

- to draft precise and accurate factual reports with minimal guidance;

- Tactful and in harmony with internal and external customers.

Testing may be conducted to determine qualifications.

Selection process

When fully qualified, U. S. Citizen Eligible Family Members (USEFMs) and U.S. Veterans are given preference. Therefore, it is essential that the candidate specifically address the required qualifications above in the application.

Additional selection criteria

1. Management will consider nepotism/conflict of interest, budget, continuity and residency status in determining successful candidacy.

2. Current employees serving a probationary period are not eligible to apply.

3. Current Ordinarily Resident employees with an Overall Summary Rating of Needs Improvement or Unsatisfactory on their most recent Employee Performance Report are not eligible to apply. Please submit your most recent Employee Performance Report (EPR).

4. Currently employed US Citizen EFMs who hold a Family Member Appointment (FMA) are ineligible to apply for advertised positions within the first 90 calendar days of their employment.

5. Currently employed NORs hired under a Personal Services Agreement (PSA) are ineligible to apply for advertised positions within the first 90 calendar days of their employment unless currently hired into a position with a When Actually Employed (WAE) work schedule.
