General information

The Finance and Management Information Section (FMIS) forms part of the Corporate Services Division (CSD), providing financial management and accounting services to the Secretariat. The section prepares budgets and final accounts for the four separate Commonwealth funds, manages payroll, payments and travel and subsistence for both full time staff and contracted experts, and provides financial information to Secretariat management and the governing bodies.

Job summary

The post holder is responsible for the efficient processing of documents travel related to documents in accordance with the Secretariat’s policy and guidelines. The post holder is required to support the Finance Officer in the achievement of the team’s objectives and goals.

Task description

The post-holder will:

  • Process travel advances in order of relevant urgency and in accordance with agreed service levels; ensuring required authorisations are evident.
  • Process travel claims; ensuring documentation presented to support the claims are in line with the Secretariat’s policy and guidelines.
  • Actively manage the level of outstanding claims and balances in the staff ledgers by sending regular reminders and following up on enquires. Highlight areas of concern to the Finance Officer.
  • Liaise with the Secretariat’s travel agents and suppliers to ensure services are delivered in an efficient manner in line with service level agreements.
  • Arrange prompt settlement of travel related invoices and claims.
  • Assist the Finance Officer with preparation of invoices and recovery of receivables.
  • Perform any other duties as may be required from time to time.

Person Specification

Education:

  • 5 GCSE’s (or equivalent) with passes in English and Mathematics
  • An accounting or bookkeeping qualification.

Experience:

  • At least 2 years’ experience in an accounting environment in a large organisation
  • Good IT skills, experienced user of Microsoft Office products
  • Experience of working with CODA Financials or a similar computerised accounting system.
