Job Purpose

To assist, support and coordinate the implementation of Training Programmes including 3rd party training and resources. The job holder is expected to develop and deliver an effective and efficient administrative processes and procedures through the use of LMS to accurately record all areas of training activities and training resources so that services can be monitored, optimized, measured and evaluated through production of reports as required within agreed formats, quality constraints and timescales.

Responsibilities

Plan and organise pre-course requirements:

  • Managing course invitations, nominations, enrollment and completion of pre-work and pre-requisites
  • Timely arrange resourses/materials required for training in liaison to relevant departments. Ensure that handouts are current and updated through continuous communication with respective disciplines.
  • Efficiently assist in duty travel arrangements including visa, hotels, transport and tickets
  • Analyse course enrollment and provide recommendations to relevant sections/disciplines to ensure that course delivery and resources are optimized.

Responsible for On-the-day-of-the-course operations:

  • Prepare course attendance sheet, door list and assessment record sheets, ensuring attendance sheets and assessment records are signed, completed and submitted on daily basis
  • Communicate and highlight trainee no shows, sickness, failure, etc.

Complete Post course requirements and ensure that record standard meets the regulatory requirements (in cases for Flight Crew & Cabin Crew Training) for the purpose of audit:

  • Accurately update trainee status or completion status and communicate passing and failures as per department requirement
  • Effectively maintain and track all examination, attendance and assessment record sheets as per agreed procedure
  • Confirm issuance of relevant certificates for trainees who completed the course
  • Prepare and issue proficiency certificates for all Cabin Crew and Flight Deck Crew for completing relevant courses (for IFS and SEP Courses).

Plan and organize facilities and equipments and other resources:

  • Provide classroom and facility allocations for both planned and unplanned events in Training Academy. Provide recommendations to maximize classroom and facilities.
  • Plan and arrange trainee and part time facilitator’s transport as per requirement
  • Maintain an accurate inventory and ensure good working condition of equipments
  • Ensure that classrooms and equipment are ready for course commencement, provide support during breakdowns and failures and conduct routine checks on the facilities and equipment to ensure good working condition. Liaise with IT and Facilities for maintenance and ensure that problems are timely rectified
  • Liaise with procurement for any material quotation related requirement
  • Raise monthly procurement requisition for stationary and pantry items and ensure that monthly costs are within the approved budget
Use of Learning Management System (LMS) to maintain accurate training records
  • Provide assistance on user issue and complaints.
    Provide details, best practice and set up courses and curriculum.
  • Provide and recommend efficient work and process flow to identify possible automation as much as the system will permit.
  • Create items and curriculum in LMS
Requirements

Qualifications and Education:

  • Educated to high school level or equivalent certification
  • Certificate in Administrations

Experience:

  • Minimum 5 years experience in providing administrative functions in a multi-cultural environment environment.
  • Experience in report and process writing skills.
  • Experience in planning and organizing of resourses.

Training:

  • Must be competent in using MS office products with a high level of competence.

Knowledge:

  • Excellent administrative skills with a commitment to working in Training and Development.
  • Excellent communication, interpersonal and organization skills, with the ability to work effectively as a member of a team.
