Management Assistant

In order to reinforce our team, we are looking for a “Management Assistant” to provide organizational and administrative support to three International Directors/ Managers from different business units. The aim is to contribute to their positive internal communication in order to facilitate the achievement of their objectives and decision making and to enhance Pfizer’s Corporate Image.
 
Responsibilities
As a Management Assistant, your role will be to: 
 
Working environment: 
• Manage your tasks in regards with the priorities, workload and routines of your managers; 
• Develop a network with your peers and regularly exchange about best practices; 
• Be informed on possible internal service providers for specific tasks; 
 
Management agreement: 
• Keep track with the manager's external contact persons and their personal sensitivity, priority status; 
• Agree with the manager upon Service Level Agreements and autonomy in projects; 
 
Communication: 
• Support the manager in his/her departmental communication with colleagues inside and beyond the own department and outside the company; 
• Ensure follow-up of decisions and agreements; 
• Ensure an effective use of the secretary network and the other communication channels; 
• Proactively contribute to open and constructive internal communication throughout the company; 
 
Meetings & Visitors: 
• Organize and participate in meetings & visitors comings; 
 
Travel: 
• Book manager's travel and accommodation abroad and in Belgium if appropriate with the support of Congress & Travel; 
• Estimate the Travel Budget with the support of Business Finance and regularly update the Travel Plan; 
 
Time Management: 
• Book manager's dates with appropriate time for travel, preparation etc; 
 
Information Management: 
• Take in telephone calls and e-mail and filter and prioritize the input with regard to agreed instructions by highlighting the essentials; 
• Hand over information and requests to the manager with agreed specification level (identity, coordinates, content, priority, etc.); 
 
Filing and Document Management: 
• Establish a global and common filing and archive system: hard and/or soft copy, filing place, degree of confidentiality, etc; 
 
Expenses and Budget: 
• Purchase documentation, office supplies, etc; 
• Prepare monthly expense notes, provide them to accounting (FSE).
 
Qualifications
As a Management Assistant, you have: 
 
• A Professional Bachelor degree in Office Management or equivalent by experience as Administrative Assistant; 
• At least three years of experience as Administrative Assistant; 
• Very good knowledge in Excel, Database (eg. Access, Oracle) and Internet; 
• Knowledge of Ariba is considered as a big plus; 
• Excellent written and verbal communication skills in English, with good knowledge in Dutch and French; 
• You are discrete and confidentiality is important for you; 
• You work Autonomously and proactively; 
• You are a Problem Solver and a stress resistant person.
