Independent Diplomat
Founded in 2004, Independent Diplomat is an innovative non-profit advisory group which provides advice and assistance on diplomacy to governments and political groups across the world. ID’s work covers the key pillars of contemporary diplomacy: political and diplomatic strategy, international legal advice and public/media relations.

Job Context
ID’s future growth plan involves deepening its expertise across these three pillars and expanding its global presence. Existing systems and processes must keep pace with this growth.
As a leading member of the organization’s management team, the COO will have complete day-to-day responsibility for all operational issues. The COO will be responsible for managing ID’s growth and consolidating its systems accordingly.

This is an exciting opportunity for an experienced operations professional to manage the growth of a unique and dynamic organization working at the cutting edge of international diplomacy.

Job Purpose
To oversee and manage ID’s growth plan and manage ID’s resources globally, ensuring that ID has the necessary skilled staff, financial resources, infrastructure, systems and processes to enable expansion and the delivery of maximum impact to clients. The position does not involve client-facing work on policy issues.

Main responsibilities
Working with the Founder and Executive Director (ED), the COO will have leadership responsibility for and manage all internal operations, covering the following key areas:

Organizational strategy
In close partnership with the ED, oversee ID’s growth plan, and put in place processes to implement it.

Quality control
Ensure that ID’s practices with regards to client work, fundraising, and other externally-facing activities, as well as ID’s internal working methods, are consistent and held to a high standard across the organization.

Financial management
Supported by a part-time Finance and Administrative Assistant, oversee ID’s global financial and administrative operations from its New York headquarters.

- Develop and manage budgets (both organizational and project-based)
- Oversee accounting policies and practices
- Oversee and deliver financial reporting

Human Resources
Oversee and manage all human resources functions worldwide, including:
- Recruitment and compensation
- Benefits plans
- Training and development, including new employee induction and retention, and organization of annual meetings
- Regulatory and legal obligation oversight
- Conduct and employee relations issues

Administration
Oversee business practices across all ID offices and ensure corporate and legal compliance, including:
- Oversight and codification of ID staff policies
- Manage and update insurance policies
- Ensure IRS and UK Charity Commission compliance
- Manage Foreign Agents Registration Act (FARA) reporting
- Oversee procurement
- Oversee office management

Fundraising
Working with the Director of External Relations, manage ID’s income, including:
- Leadership of monthly and annual budgeting
- Management of investments and cash flow
- Oversight of reporting systems
- Liaison with Board of Directors

Information Technology
Liaising with IT consultants and experts, ensure that ID’s IT infrastructure is solid, secure and adapts to the organization’s growing needs.

Security
In consultation with outside experts, ensure that ID’s policies and practices with respect to the security of its personnel, premises and data are comprehensive, up-to-date, manage risk appropriately, and are correctly implemented.

Management Team
Plan and chair weekly NY management team meetings and lead follow-up, with a view to ensuring smooth management of finances, staff and projects.

Candidate Requirements
- Minimum 10 years’ operational experience in roles of increasing responsibility
- Minimum bachelors degree, advanced degree (especially MBA) strongly preferred
- Proven track record in international corporate and/or nonprofit financial management
- Experience managing teams, including those in remote locations desired
- Experience establishing operations in overseas locations a plus
- Must be fluent in English; knowledge of foreign languages a plus
- Overseas experience a plus
