Regional Database Manager Greenpeace SEA QC, Philippines

The Regional Database Manager is a new post that will support the fast growing and changing needs of the Greenpeace Southeast Asia regional office (GPSEA). We are now approaching a critical time where the fantastic growth potential we have can only be realized with a powerful supporter database, insightful and strategic audience intelligence and planning and high quality and precise database marketing.

A key focus will be on the vital business development objective of migrating our supporter data from our existing database ‘Friends’ to a new, fit for purpose, database system that will serve the needs of not only fundraising but all business aspects of the organization that are driven by our supporters and their data. As this database will be the system that holds holistic supporter data for the organization, strong cross departmental working will be required, especially with the Mass Mobilization department who are also a high volume user of supporter data. Additionally, they will coordinate the database project alongside staff from Greenpeace International and the database vendor.

This is a strategic and forward thinking role that will maintain a focus on the future business direction of the organization through the use of supporter data and the current and anticipated processes surrounding it. They will ensure that the fundraising unit is well informed about all existing and potential audiences we communicate with. In order to do this, the position will investigate those audiences both qualitatively and quantitatively by carrying out their own expert data analysis, by working with our in-house database team and by commissioning suppliers where necessary. The Regional Database Manager will manage and coach the regional database team through the direct line management of the Regional Database Administrator & Analyst.

This position is managed by the Fundraising Director but demands a high degree of autonomy as a specialist in their field. The nature of the work is such that they must be inquisitive about all business areas of fundraising, understand the strategic direction of the regional and country offices and proactively seek audience insights and analysis that will continually inform and push the boundaries of these strategies. 

The post will be required to travel across the region in order to form relationships with the fundraising offices and staff and to understand firsthand the markets we operate in and the audiences that have potential to support the organization. There may also be opportunities for travel to Greenpeace global skill shares and to meet with specialists from other NROs. 


Responsibilities:

DATABASE MIGRATION
Lead and manage the transition from FRIENDS to a new CRM system alongside the Regional Database Administrator & Analyst
o Active part of GPSEA and GPI database project team and main point of communication with the GPI Universe steering committee
o Project leader on all aspects of the transition managed by GPSEA 
o Oversee the creation of new database systems and processes that meet current needs and anticipate the future needs of the GPSEA fundraising program
o Work alongside and coach the Regional Database Administrator & Analyst throughout the database migration project
o Ensure that all key users are fully trained on operating the new database before the final migration
o Ensure that training and support is given to the rest of the fundraising team during and after the transition
o Work alongside the database staff in the Mass Mobilization department to ensure that the system provides for the needs of all data users

DATABASE INTEGRATION
Ensuring effective integration between the new database and any other databases, including
o GPSEA Website
o External Data Entry Agencies
o Finance Systems
o Mass Mobilization

LINE MANAGEMENT
Line management responsibility for the Regional Database Administrator & Analyst
o Line manage the Regional Database Administrator & Analyst and ensure that the database team is being managed effectively
o Provide coaching and support to ensure that the database team produce high quality outputs
o Carry out regular management and review meetings
o Set clear and achievable yearly and monthly objectives
o Identify relevant training and development needs and work with HR to identify effective ways of providing development support

BUDGET MANAGEMENT

o Develop and manage the regional database budget
o Ensure that expenditure is monitored regularly and variances reported

STRATEGIC PLANNING, DEVELOPMENT & SUPPORT
Create a strategy for the development of supporter intelligence and use it to inform all other strategic fundraising areas.

o Active member of the Fundraising Management Team
o Full involvement in the strategic planning process and input into all key strategic plans that require data insights and intelligence
o Remain up to date on all fundraising strategies and how supporter intelligence can underpin these strategies
o Support the database team in the creation of a database marketing and analysis strategy
o Proactive and continual development of audience and marketplace insights that help to inform and stretch the fundraising strategies
o Oversee the creation of strong, accurate and user friendly planning models to aid the planning process 
o Act as advisor and consultant to Fundraising Managers during the planning process

SUPPORTER INTELLIGENCE AND ANALYSIS
Provide insightful and cutting edge intelligence and analysis to grow and develop the fundraising programs
o Continual development of marketplace and audience understanding through research and analysis
o Working with the database team to create a supporter segmentation in order to help develop more effective fundraising to these groups
o Produce strong and insightful analytical tools to monitor and evaluate supporters and inform the fundraising teams on their short and long term value, performance and other defined key performance indicators
o Identification of other analytical tools or suppliers that would add value to our supporter intelligence 

ENSURING A QUALITY SERVICE FROM THE DATABASE TEAM TO THE FUNDRAISING DEPARTMENT 

Alongside the Regional Database Administrator & Analyst, responsible for ensuring that the database team acts as a database and analytical service centre for the fundraising unit, ensuring the smooth running of fundraising appeals, database management and banking systems.
o Ensuring all strong database processes and systems are in place and being run efficiently so that the fundraising programs operate effectively and in a timely manner
o Developing the team’s ability to prepare and present data analysis, insights and recommendations in a user friendly and understandable way
o Cultivate a strong sense of customer service within the database function and provide fundraising clients with a quality data experience

GENERAL DUTIES
From time to time in order to meet organisational and fundraising priorities you will be required to perform other duties as directed by the Fundraising Director.

Essential Skills:

• Educated to degree level in marketing, business, IT or other relevant field
• At least 4years experience in CRM database systems and the use of high volume customer or supporter data
• Demonstrable track record of successfully migrating data to new database systems and developing all relevant processes
• Excellent planning and strategic development skills
• At least 3years experience in customer planning and analysis and applying insights strategically in a sales, marketing or fundraising environment
• At least 2years experience in the line management and development of staff 
• Experience of commissioning and/or running qualitative and quantitative research that provides new audience/customer intelligence 
• Knowledge of data mining / analysis programs.
• Strong written and oral communication skills (in English).
• Advanced level of skills in Word, Excel and Access or equivalent Open Office packages
• Creative, innovative and ideas based approach
• Strong analytical mind with a focus on quality and accuracy
• Ability to communicate complex ideas to a variety of staff at different levels of the organization
• Commitment to the ideals of Greenpeace

Desirable qualities and skills:
• Experience in an NGO or not for profit sector.
• Understanding of supporter/loyalty programs.
• Excellent reporting and interpretation of data and analysis

Contract term: Two (2) year full-time contract
