Development Assistant, Donor Relations

Job Summary:  Key member of the Development Department team assigned with supporting the fundraising goals of the Department through the primary execution of three essential functions of the department: Gift Processing, Database Management and Revenue/Expense Tracking.
Required Skills
Key Duties and Responsibilities:
 Gift Processing (60%) 
  • Process all gifts to the organization through donorbase management system; support in reconcilation of all donations with the Finance department
  • Input all gifts in database and assign specific fund/cost center.
  • Manage department contribution/donor thank you/acknowledgement system (attached).
  • Mail all necessary tax/thank you/reminder letters for all donations and pledges minimum once a week.
  • Create updated thank you letter templates and specialized letters.
  • Manage (and update donations on running) year to date contribution tracking chart to be used by Vice President, Development, Development team and other relevant members of organizational leadership team.
  • Provide weekly contribution report at Development department staff meeting, listing relevant staff assignment; make first thank you telephone call if appropriate.
 Database Management (20%)
  • Coordinate the department’s donor and donor prospect database.
  • Create and maintain donor files in the database.  Continually clean up the database as directed by the Development Department.
  • Update donor/prospect database on a continual basis with relevant information from the Development Department and other departments as well as information that other stakeholders deem important.
  • Support Development team with relevant role in Gift Processing/Database Management in targeted fundraising events and fundraising campaigns.
  • Trains Development Department staff in use of donor database system.
  • Partakes in ongoing database trainings
  • Manages and updates database policies and procedures
 General Development Department Support (20%)
  •  Maintains tracking devices for Development revenue goals.
  • Tracks Development budget (income and expense).
  • Reconciles unrestricted income and departmental expenses with Finance at least every month.
  • Processes check requests and travel expense reports.
  • Collects receipts and submits proper expense coding to Finance.
  • Creates RFCDs for restricted fundraising activities.
  • Track inventory and orders supplies for direct mail and Development office needs.
  • Collects and distributes incoming department mail.
  • Provide receptionist relief on regular rotation.
  • Other duties assigned by supervisor.
 Position Parameters/Special Responsibilities Required: 
  • Must be available to work overtime during peak periods
Required Experience
Required Qualifications:
  • Bachelor’s degree in relevant field or technical training and 3 additional years of relevant work experience preferred.
  • Three to four years of professional experience with a minimum of 1 year in a similar role
  • Proficiency in donor database management, experience working with Salesforce and/or Raiser’s Edge or similar database preferred.
  • Experience with budgeting and comfort with numbers.
  • A thorough knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook is also required.
  • Strong problem-solving abilities.
  • Strong customer-service orientation.
  • Strong written and verbal communications skills.
  • Candidate must possess strong organizational skills; be proactive; and possess the ability to work independently handling multiple priorities in a fast-paced, professional environment, with absolute attention to detail.
  • Candidate must have confidence and experience in working with a team and senior management.
