Overall Responsibilities
MSH’s intranet service is used by over 2,000 employees geographically dispersed around the globe. It is the most important channel for employee communication. The Intranet Specialist plays a pivotal role in helping us enhance this service and create an excellent electronic channel for employee communication. The primary function of the Intranet Specialist is to engage users across all employee groups and levels to build a lively intranet community and foster adoption of leading-edge social collaboration tools. The Intranet Specialist will help to maximize the value of the intranet as a strategic communication and knowledge management tool by helping employees to quickly find the information they need to do their jobs, manage their lives as employees, connect to other users, and improve employee engagement. The Intranet Specialist is primarily responsible for the overall content and functionality of the Company Intranet, as well as weekly internal newsletter. He or she directs how content will be arranged; how graphics will look; and how scripts interact with content and other media, including databases and multimedia presentations. In particular, the Intranet Specialist will be responsible for the following:
Specific Responsibilities
Internal Communication Platform Management (70%)
  • Manage overall operations for the MSH Intranet, providing governance, strategy, standards and support to Offices and Centers and content managers
  • Lead and define the strategic direction, vision and evolution of the intranet
  • Regularly solicit and communicate feedback while monitoring and evaluating usage reports
  • Under supervision of Sr. Manager Internal Communication, understand the flow of information between departments and groups within the organization, and identify new methods and uses of the intranet
  • Keep up with the latest trends, tools and practices in effective knowledge management to increase internal communication within an organization
  • Maintain monitoring and evaluating tools for use in tracking and reporting monthly metrics report.
  • Develop supportive infrastructure (e.g., standards, templates, directory structures) for content creation and distribution.
  • Work with content contributors and Intranet team to ensure the integrity of the information provided on all web pages. This includes providing guidance on contributions in terms of grammar, consistency of terminology, visual congruity, proper coding, confidentiality, and controlled information use.
  • Manage content and layout of intranet pages , resulting in a user-friendly design and ease of navigation.
  • Drive the design, implementation, rollout and training of new features and functionality to increase effectiveness and internal communication
  • Work with groups who have identified content that they want to place on the Intranet and help them realize their goals.
  • Provide consulting and support services for using the Intranet web site for all MSH staff
  • Plan, produce and provide training materials and courses as needed.
  • Work closely with the IS department and web application developers within the organization to ensure the continuation of a common, stable development environment for content contributors
  • Coordinate the production of the weekly internal e-newsletter
Knowledge Management and Learning (15%)
  • Support internal Technical Exchange Networks, with platforms and processes which provide a forum for cross-fertilization amongst technical experts across MSH.
Internal Communications (15%)
  • Support to internal communication initiatives as requested
Project work (TBD)
  • This position may be requested at times to support specific projects across the organization as they determine their internal communication needs
Qualifications
  • Degree in Information Management or similar
  • Minimum 3-5 year’s experience in developing and managing a modern information management business solution for a globally dispersed organization; with proven ability of improving services.
  • Good experience in web user experience creation, scoping and shaping online services & optimizing web content; web usability best practices and experience of copywriting for the web
  • Hands-on experience of Content Management Systems, in particular Common Spot, and the setting up and managing of workflow, quality overview and security mechanisms
  • A broad online / internet knowledge; best practice, emerging technologies, usability, accessibility, social networking, multimedia, blogs and so on; with the ability to channel this knowledge into strategic advice
  • Proven experience in coordinating activities and managing relationships with employees, content administrators, stakeholders, IT teams and external agencies
  • Self-starting individual with proven ability to take ownership for results and driving change
    Excellent communication, planning and organizational skills, with experience of project and change management processes
  • Moderate questions, comments, and general feedback within the community, and work with appropriate internal resources to address any issues or questions.
  • Coach users and content contributors on the use of all Knowledge Exchange tools, including collaboration tools and social content such as blogs, wikis, etc., and provide guidance for effectively using the tools.
  • Support implementation of internal campaigns using the intranet as the primary communication platform.
  • Help to enforce intranet policies and standards related to community activity, content creation and organization, and visual and written standards.
  • Monitor community activity, establish effective benchmarks for measuring the growth of the community, and define objectives to increase site usage.
  • Identify needs within the community; provide input regarding the evolution of the intranet, and assist in strategy development for future phases.
  • Analyze, review, and report on the effectiveness of new intranet initiatives.
  • Strong written and verbal communication skills and able to effectively communicate with all levels of employees.
