BACKGROUND

The Geneva International Centre for Humanitarian Demining (GICHD) works to eliminate mines, explosive remnants of war and other explosive hazards by enhancing efficiency, effectiveness and safety in the mine action sector. The GICHD upholds the humanitarian principles of humanity, impartiality, neutrality and independence.
Within the Support and Administration division, the financial section is currently composed of a Finances and Controlling Manager and an Accounting and Administrative Assistant. We are recruiting an Accounting and Contracts Management Assistant to strengthen the services provided to the other divisions of the organisation.

MAIN TERMS OF REFERENCES

Reporting to the Finances and Controlling Manager and in close liaison with project managers in other divisions, the Accounting and Contracts Management Assistant will be administering the funding agreements with donors and the procurement and consultancy contracts. He/she will monitor and control the content and accuracy of the electronic workflows and of the financial reports due to the various donors, feed a contracts and agreements database and ensure the proper recording and archiving of all the contracts.
He/she will also replace the Accounting and Administrative Assistant during leave of absences; this will include the verification and processing of expense reports and credit card statements, record data in the accounting system, prepare documentation for payments and handle banking transactions, prepare cash advances and reconcile the petty cash. In addition he/she will periodically assist the Conferences section, together with the other assistants from the Administration and Support division, in the logistics related to the international conferences organised by the GICHD.

The 50% part-time schedule will be mainly regular throughout the year; however, the incumbent will ideally have some flexibility to work on a full-time basis (with compensation of the overtime during other periods of the year) during the absences of the Accounting and Administrative Assistant.

QUALIFICATIONS, SKILLS & EXPERIENCE

  • Maturité Professionnelle or equivalent studies
  • Minimum 4 years of professional experience in functions involving finances and/or accounting
  • Good level of English and French as working languages
  • Confident user of MS Excel and MS Office suite
  • Knowledge of SharePoint and/or of an ERP tool such as Navision is an advantage
  • Ability to interact effectively with colleagues from diverse cultures
  • Swiss nationality or valid work permit.
