Position Overview

The Administrative Associate (AA), Government Affairs (GA) EMEA position will provide a variety of administrative and project support duties for the GA organization including general administrative support for the Senior Vice President as well as support for the complete GA team (in-house and some field-based). Success will be defined by the following: attention to detail, ability to anticipate needs, delivering work efficiently and completely, developing an understanding of the issues that drive the group, and managing multiple projects and responsibilities concurrently.

Job Responsibilities

This role requires an experienced AA who enjoys working in a fast-paced environment and can ensure timely coordination of tasks for multiple executives. The candidate must be flexible, take initiative and work well independently and in a team environment. Candidates must be detail-oriented, able to work on multiple projects simultaneously, and able to effectively prioritize work. Candidates also must be able to handle sensitive and confidential information with discretion. Specific job responsibilities include the following:
  • Track, manage, and follow through on key GA business needs such as budgeting, contracts, invoices, and expense reports;
  • Coordinate meeting logistics including audio/visual support within and external to the department;
  • Assist with significant phone and calendar management;
  • Complete travel arrangements for complex, ever-changing international and domestic travel;
  • Liaise with senior level executives and their staff to coordinate activities and meetings globally;
  • Produce spreadsheets and presentations in Excel and PowerPoint;
  • Provide project support as assigned;
  • Handle extremely confidential and proprietary information with utmost discretion.

Job Requirements

  • Demonstrated capabilities in managing complex projects, working with cross-functional teams, business process improvement, and implementing change in a collaborative manner;
  • Proven judgment in dealing with sensitive topics and financial information and discretion with confidential information;
  • Attention to detail;
  • Ability to work independently with an appreciation for the function’s role in supporting the GA’s overall business objectives;
  • Ability to handle multiple assignments in a timely and efficient manner;
  • Excellent organizational, communication, and interpersonal skills;
  • High proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and other web-based applications and systems;
  • Capacity to work under strict deadlines.

Qualifications

  • 5+ years in an administrative support role;
  • Proficient with the entire suite of Microsoft Office productivity tools; expert at managing executive calendars using Outlook;
  • Experience coordinating local and international meetings, and international travel;
  • Excellent written and verbal communication skills;
  • A high level of written and spoken English, French and Dutch (German an asset).
