Officer - HRDC Coordination

To provide administrative / management support to the Coordinator of Hybrid Rice Development Consortium
Duties
1. Respond and liaise directly with HRDC members and client base on a daily basis and prepare all forms of communication for the perusal and signature of the HRDC Coordinator. Ensure that all queries are acted upon promptly and membership fees are paid on time. Independently keep track of membership records and remittances from members and issue reminders in a timely fashion.
2. Prepare cropping plan and organize administratively HRDC multi-location hybrid rice yield trial with members. Communicate with HRDC members and the IRRI health Unit staff to track yield trial progress and performance. Collect, organize and maintain database of the yield trial. Analyze and report the yield trial data.
3. Prepare germplasm import/export documents and oversee shipment of germplasm materials and coordinating with other researcher/administrative staff in preparing accurate/error-free documentation making sure timely delivery to members/clients through independent follow-ups and other tracking mechanism.
4. Recommend action plans to the HRDC Coordinator in response to the members' concerns in a proactive and independent manner. Likewise, act on behalf of the HRDC Coordinator when the latter is on duty travel.
5. Independently manage and analyze the HRDC annual budget by monitoring expenses, providing spending pattern analysis and financial projections to the HRDC Coordinator.
6. Plan, organize and manage events by leading and providing overall logistical support and arrangements to HRDC-convened international and local conferences/symposia, trainings, workshops by supervising support staff during planning and implementation stages in coordination with other IRRI units concerned, and in close consultation with the HRDC Coordinator.
7. Provide content contribution and inputs to the development of the HRDC website in coordination with CPS.
8. Perform other tasks related to the Consortium operations.
Qualification requirements:
- BS degree in Agriculture, Business Administration or related fields
- More than 5 years work experience in research or project management
- English, Tagalog
- Excellent skills in business administration tools, strategic planning and time management; good understanding and experience of crop research, breeding and/or germplasm issues; experience in event planning and management; strong communication skills (writing and verbal); working knowledge of Microsoft office software
