Executive Assistant IMF


The Executive Assistant will provide secretarial and administrative support to the IMF’s Senior Resident Representative, and assist him in setting up and managing the Brussels office.
The main duties and responsibilities include:
  • managing all aspects of the Representative’s agenda by maintaining the calendar, determining scheduling priorities, coordinating with IMF staff and EU counterparts, arranging logistics, and organizing travel;
  • supporting the Representative with certain meetings and events, including by making logistical arrangements and drafting meeting summaries;
  • providing logistical support to visiting IMF missions and senior management;
  • responding to phone calls and e-mails, routing correspondence, and receiving visitors;
  • preparing, proofreading, and formatting documents in English and French;
  • preparing presentation materials for the Representative and other staff using standard software;
  • managing office materials and supplies, and liaising with vendors;
  • maintaining financial records and expense receipts, and assisting the Representative in managing the office budget, including preparation of monthly reports to Washington;
  • providing technology assistance and other administrative support as needed;
  • flexibility to work outside regular office hours if needed.
Qualifications
  • the position requires excellent organizational and work management skills, including the ability to multi-task under time pressure;
  • strong communication and interpersonal skills are essential, and the candidate should be able to interact effectively and tactfully with senior IMF and EU officials;
  • a high degree of personal initiative, resourcefulness, and independent decision making will be critical, as well as sound judgment in handling confidential information and complex situations;
  • the candidate should be fluent in English and have a working knowledge of French;
  • proficiency in information technology and standard software applications (including word processing, data management, and presentations) is expected;
  • the candidate should have extensive relevant work experience, as well as vocational/university training;
  • familiarity with European institutions would be a plus;
  • the candidate must be legally entitled to work in the European Union.
