Description 
Support the Head of Portfolio Management Office in the monthly reporting cycle, which includes a number of reports on the programmes for different audiences including senior mobile operator executives Identify and implement measures to improve the functioning of the team, including the management of core team information and the team intranet site Responibilities Promote and assure the use of standard Programme and Project Management (PPM) templates and processes • Coordinate the production of monthly portfolio reports, ensuring they meet quality standards. This includes reviewing the content of the reports, providing feedback and suggestions to programme directors and project managers and making sure the layout is tidy and understandable by a senior executive audience • Develop understanding of the functionality of GSMA’s information database (InfoCentre) and ensure that Programme teams use and maintain it correctly (it is a highly modified version of SharePoint) • Drive team adherence to our formal document review process • Carry out reviews of project documentation, providing constructive feedback to document authors and including coordination of peer review if required • Maintain reference repository of good example documents • Give basic guidance on Programme and Project Management templates and processes, particularly risk management, for more complex requests, coordinate team experts to respond • Identify areas for improvement within Programme and Project Management templates and processes • Coordinate induction of new staff, including creating and maintaining an induction process • Provide secretariat support to governance boards, including workshop / meeting administration • Drive good communication within the Professional Services Team, and on behalf of the team to the wider organisation (including running team meetings, maintenance of the team intranet site and filing system) 

Context 
GSMA spends approximately £23 million per year on its portfolio of programmes. The programmes help to shape the future of the mobile industry, particularly on new business opportunities for mobile operators and regulatory lobbying on behalf of the mobile industry. The Portfolio Management Office (PMO) sits within the Professional Services Team, which is a pool of about 70 project professionals dedicated to delivering projects and programmes. The programme teams work with other subject matter experts from across GSMA, with representatives from mobile operators, and representatives from other industries. The Portfolio Office supports the Professional Services Team, and acts as a single point of contact for issues that affect all programmes. This role is a potential springboard to further opportunities in the GSMA’s programmes. Key areas of work are: - Executing and improving communication of portfolio status to stakeholders from Board members through to GSMA staff at all levels. - Helping teams to manage programmes in the right way, following the agreed processes and meeting quality standards - Driving best practise in maintenance of our members information database (InfoCentre) - Being part of the yearly business planning cycle to ensure that the programmes are doing the right work and it is well planned - Managing and improving the team website to be the place that anyone can find out about GSMA programmes and how-to information. - Tracking and analysing resource requirements across the portfolio - Improving the practice of project and programme management across the team

Criteria 
- Enthusiastic, intelligent graduate, keen to develop their career and learn about GSMA’s programmes - Experience working on Projects or in a Portfolio Office as an analyst or coordinator - Able to learn quickly how to use business tools - Leadership ability in driving peers and senior colleagues to produce outputs and follow processes - Able to act as a coach in project management skill areas, particularly reporting and risk management - Good skills in producing high quality PowerPoint presentations, with a flair for laying out information clearly - Good eye for detail - Solid experience with Excel and Word - Good relationship management skills – able to get inputs from team members for a deadline - Able to facilitate meetings – e.g. planning, lessons learned, peer review - Organised and able to manage multiple priorities - Strong initiative, able to follow through delivery of work without step by step instruction - Some experience of project/programme budget tracking would be an advantage - Qualification in project management, PMO or P3O
