Position Description
SNV continues to grow and is seeking a Proposal Coordinator to support its Business Development team and SNV USA colleagues.  This role will be vital in helping SNVUSA reach its objectives by coordinating and supporting important tasks in partnership development, opportunity tracking, prospect coordination, and other tasks.  This exciting, newly-created position will gain in-depth understanding of SNV: its mission and policies, culture, values, history, key stakeholders, programs, finances, and how sources of funding can be integrated to generate revenue and increase visibility and develop a solid understanding of SNV’s approach in agriculture, renewable energy, and WASH sectors.
The position will will report to the Sr. Proposal Manager. S/he will coordinate key aspects of the proposal development process from inception and proposal planning through successful submission, and be an active participant of SNV USA’s Business Development (BD) Team as it builds strategic partnerships that promote SNV’s visibility and mission.
Key Responsibilities
Manage SNV USA’s Opportunity Tracking Systems: 
  • Maintain SNV USA opportunity tracking system and update SalesForce CRM with current US Government-funded leads and opportunities
  • Update SNV USA tracker as directed
  • Monitor donor solicitation announcements and disseminate relevant opportunities to SNV country offices
  • Participate in meetings with clients and partner organizations during technical/sector discussions, bid development and negotiations, recording outcomes, and actions items as required
Coordinate SNV USA proposal operations efforts for large, complex projects for US development assistance agencies ensuring instructions are clear and deadlines are met at a detailed level: 
  • Maintain proposal calendar and deliverables schedule
  • Prepare compliance checklist of client requirements
  • Prepare and distribute minutes of relevant proposal meetings, including brainstorming sessions, and quality reviews
  • Communicate regularly with country teams on status of proposal development
  • Troubleshoot issues and problems and communicate potential trouble spots to Proposal Manager and BD team as necessary, and suggest remediation
  • Draft or edit sections of proposals such as the management plan, capability and staffing sections, and other areas as appropriate
  • Review all inputs for responsiveness to donor requirements
  • Synthesize and edit proposal puts and oversee the submission of the completed packages, including all necessary attachments
    • Update and assemble support materials (e.g., representations and certifications, CVs, bio paragraphs, past performance references)
    • Compile and disseminate comments from other internal and external reviewers
    • Provide required information to SNV USA’s finance team to ensure linkages between technical and cost proposals
      • Manage production and submission including formatting, compliance review, and submission
      • Maintain electronic and hard copy proposal files and oversees proposal debriefs and proposal close-out in accordance with SNV standard procedures
      • Maintain SNV USA’s registration with grants.gov, CCR, SAM, and stay abreast of requirements relating to SNV USA’s DUNS number.
      • Work with Finance team to ensure accuracy and compliance with US government requirements 
Ideal Experience 
  • A minimum of 2 years grant and proposal development experience for bilateral donors, especially USAID
  • Strong familiarity with US Government procurement and contracting policies
  • Demonstrated knowledge of technical response, including identifying client requirements and documenting instructions for proposal submission, developing win themes, coordinating technical inputs, and liaising with teaming partners
  • Demonstrated organizational skills, including high attention to detail, using guides, tables, matrices, and other planning tools to provide clear written and oral communications to team members
  • Exceptional editing/proofreading skills to ensure production of documents that are clear, concise, responsive, and grammatically correct
  • High level of proficiency with Microsoft Office Suite and Adobe Acrobat. Knowledge of SharePoint, Salesforce, and presentation graphics is a plus
  • Experience living and/or working in a developing country in a project management, business development, or fundraising capacity, preferably on issues related to agriculture, renewable energy, or WASH a plus
  • Bachelor’s degree in related field, Master’s preferred
  • Available for occasional international travel
  • Foreign language skills in French and/or Spanish a plus
