ORGANIZATIONAL UNIT: NEX Unit, Division for Management Services (DMS)
NEXAMS is a database which allows key actors in the NEX Audit process (the Global Audit Firm, the NEX Unit, Country and Regional Offices, the Audit Monitoring Committee, the Board of Auditors) to efficiently and effectively manage and monitor the various stages of the NEX Audit process (planning, preparation, audit, and compliance) and ultimately to provide assurance on UNFPA’s NEX expenditures.
MAJOR DUTIES AND RESPONSIBILITIES
NEXAMS is user-friendly and provides NEX managers at all levels access to reliable, real-time information on NEX Audit results • Assumes overall responsibility for the functionality and integrity of NEXAMS • Reviews the existing functionality of NEXAMS on an ongoing basis and provides suggestions for changes and enhancements to facilitate senior management reporting and decision-making • Prepares functional requirements for NEXAMS • Undertakes thorough testing of NEXAMS functionalities delivered by MIS • Regularly performs reviews of the correctness of the information as displayed in NEXAMS and documents these reviews • Develops user-guides, tutorials and training modules on NEXAMS • Provides ongoing support to all users of NEXAMS
Timely and relevant policies, procedures and guidance for NEX Implementation and NEX Audit Management are available at all times • Provides technical inputs on NEX processes for the NEX Audit Guide and Implementing Partner Manual
Accurate and reliable NEX Audit Monitoring reports available for senior management decision-making • Prepares NEX related reports and updates as directed by the Chief of the NEX unit • Ensures that a fully reliable executive snapshot with key information is available through NEXAMS • Provides technical inputs to the DMS yearly client satisfaction survey and other quality assurance work
The NEX Unit knowledge sharing activities develop internal and implementing partner NEX management capacities • Contributes regularly to the NEX Unit knowledge management including technical inputs to workshops, webinars, and the Fusion asset • Proposes innovative approaches to policies, procedures and guidance on Implementing Partner capacity assessments and development.
ESSENTIAL QUALIFICATIONS AND EXPERIENCE:
• Advanced university degree in Business Administration. • 5 years of project management work experience, including 3 years at the international level • Strong knowledge of Information and communication technologies, data base management including Access and Excel • Knowledge of ERP by PeopleSoft would be an asset • Ability to function effectively in a team and dedication to multidisciplinary collaboration • Knowledge of UNFPA programming, particularly at the Country Office level, is an asset • Fluency in English and good writing skills. Proficiency in French and/or Spanish would be an asset.
