About the Division

The National Audit Graduate Recruitment Team of Deloitte looks after all Audit recruitment activities for the firm. We are not simply recruiters; we are business-minded people who pride ourselves in understanding and co-creating the entire Talent journey for our internal Deloitte clients and the candidates who are interested in our great firm. About the Job

We are looking for the person who is best able to fulfill the following job requirements

  • Manage diaries.
  • Arranging all local and international travel arrangements, this includes flights, accommodation and car hire.
  • Typing all documents: Invitations, management reports and other letters
  • Prepare all presentations to external and internal clients as requested by Managers.
  • Filing, faxing, printing, binding, photocopying and other day-to-day administrative activities.
  • Responsible for photo copier and shredder within the department.
  • Handling of deliveries to clients.
  • Ad hoc typing of letters etc for the team.
  • Deals with travel and office expenses
  • Collates statements, timesheets and expense claims for the respective managers
  • Responsible for managers filing
  • Management of workspace
  • Deal with ad hoc requests
  • Answering phones and screening calls for the Managers.
  • React to client needs appropriately and follow up when necessary.
  • Communicate with internal and external clients in a professional manner.
  • Schedule meetings in Managers diaries when required.
  • Booking internal meeting rooms, appointment reminders for the Managers.
  • Anticipate requirements in diary for tasks other than meetings.
  • Work with other Administration department to coordinate meetings and plan diaries
  • Goes the extra mile for the firm's clients.
  • Establishes relationships with key client PA's.
  • Ensure that adherence to Human Resources Policies and guidelines with regards to staff are adhered to.
  • Ensure that allocated parking is confirmed.
  • Arrange functions and ensure that function date is agreed to by all relevant parties.

About You

We are looking for someone who has the following qualifications

  • Matric and Secretarial Certificate or Diploma

You would need to have the following Experience and Technical & Behavioural Competencies

  • At least 2 to 3 years experience in a secretarial role within an office. Previous experience in a corporate environment is vital.
  • Ability to use MS Outlook, PowerPoint, Excel and the internet at an advanced level
  • Strong planning and organizational skills
  • Loves interacting with people
  • Excellent typing skills
  • Ability to communicate through various communication channels and at all levels necessary
  • Attention to detail
