Operations Assistant

The Operations Assistant will be responsible for providing administrative and project support to the HR Director, Finance Director and Operations Director. This position will also work closely with other members of the teams. This position is based in our Washington DC office.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Maintain accurate and detailed calendars using Outlook for the directors
  • Organize internal and external meetings, including notifying attendees, reserving conference rooms, and setting up for meeting; collaborate with other assistants to successfully coordinate schedules across teams
  • Assist with the recruitment process – printing and organizing resumes, scheduling interviews, greeting candidates and showing them to conference room, etc.
  • File employee information in personnel records
  • Assist in tracking/collecting HR-related information (benefit enrollment forms, professional development requests, etc.)
  • Assist with bank deposits and post office runs
  • Make copies, scan and distribute financial information (990’s, audit reports, charity registrations)
  • Obtain signatures on financial documents
  • Help to maintain organization of financial information (includes filing and maintaining spreadsheets)
  • Assist with audit and month end/year end preparations (copies, filing, reorganizing, obtaining information from other teams)
  • Compile and distribute strategic planning binders during the annual planning process
  • Help maintain and update content of ONE’s intranet
  • Assist with scheduling, planning etc. for ONE’s internship program
  • Assist with the compilation and distribution of cross-team project documents
  • Handle travel arrangements and reservations for the directors
  • Receive and distribute incoming mail
  • Track and reconcile director’s monthly credit card statements and expense reports in a timely manner
  • Prioritize and carry out complex administrative duties and/or projects as required by the directors

KNOWLEDGE/SKILLS REQUIRED

  • At least 2 years experience providing administrative support to senior staff; bachelor’s degree preferred
  • Expert with Microsoft Office software, in particular Word, Excel and Outlook
  • Excellent oral, written and interpersonal communication skills
  • Strong organizational skills and detail-oriented
  • Extreme comfort with technology
  • Self-starter; able to multitask and prioritize a number of projects
  • Superb professionalism, diplomacy and ability to maintain confidentiality
  • Ability to work in a fast-paced, entrepreneurial – and sometimes unpredictable – environment
