Organizational Setting

The Department of Safeguards is the organizational hub for the implementation of IAEA safeguards. The IAEA implements nuclear verification activities for more than 175 States in accordance with their safeguards agreements. The safeguards activities are undertaken within a dynamic and technically challenging environment including advanced nuclear fuel cycle facilities and complemented by the political diversity of the countries.

The Department of Safeguards consists of six Divisions: three Operations Divisions: A, B and C, for the implementation of verification activities around the world; and three Technical Divisions, (i) Division of Concepts and Planning, (ii) Division of Information Management, and (iii) Division of Technical and Scientific Services, as well as two Offices: the Office of Safeguards Analytical Services and the Office of Information and Communication Services.

The Division of Technical and Scientific Services is the departmental branch for nuclear and other measurement, containment and surveillance projects and all verification logistics.

The Section for Verification Logistics provides the Department with support and services in connection with equipment management including receipt, shipment, warehousing, asset management, procurement, performance monitoring and provision of equipment and supplies. The Section is structured in two Teams (operational units): Safeguards Asset Management Team and Equipment Handling and Storage Team.

The Equipment Service Desk, being part of the Safeguards Asset Management Team, controls the equipment requisition process and acts as an coordinator for provision of equipment to the department. The work is performed in an office environment, using the office computer equipment, and may require carrying of light to moderately heavy supplies or equipment. Accuracy may be checked through feedback from Departmental colleagues using the equipment requisition tools or the clients of the Equipment Front Desk.

Main Purpose

Under the supervision and guidance of the Team Leader, the SG Equipment Service Desk Assistant acts as the contact to the clients of the Equipment Service Desk coordinating the delivery of safeguards equipment, supplies and consumables as requested by the Departmental staff.

Working Relationships

Person-to-person contacts are extremely important in this function and involve daily interaction with inspectors, computer software development personnel, laboratory technicians and other professional and general service staff both within and outside the Department in areas relating to equipment requisition and provision.

Engagement involves providing assistance through exchange of primarily routine information which may sometimes require discussion, clarification or explanation.

Functions / Key Results Expected

As a member of the Equipment Service Desk, the SG Equipment Service Desk Assistant:
  • Coordinates the requisition and provision of safeguards equipment and supplies;
  • Monitors and ensures timely processing, documentation and delivery of hand carried safeguards equipment and supplies using the associated software tools;
  • Maintains accurate records of equipment and supplies delivery transactions;
  • Assists users when necessary with updating or rectifying records;
  • Distributes consumables for SG inspection purposes. Maintains stock of consumables and initiates procurement requests when needed;
  • Maintains the associated stock management system;
  • Responds to customer inquiries related to delivery of equipment; and
  • Issues property passes for the delivered equipment.

Knowledge, Skills and Abilities

  • Strong client-orientation enabling the incumbent to work cooperatively with staff at all levels.
  • Good working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and relational databases (MSAccess).
  • Basic knowledge of Safeguards system and equipment.
  • Good interpersonal skills combined with an ability to work in and adapt to a multicultural environment with sensitivity to and respect for diversity. Ability to work in a team.
  • High degree of accuracy and ability to pay attention to detail.
  • Ability of work with minimum supervision.

Education, Experience and Language Skills

  • Completed secondary education.
  • At least four years of relevant work experience, preferably in an international environment.
  • Experience in database management.
  • English language test (level 2) and typing test (level 2) to IAEA standard.
  • Excellent command of both spoken and written English is essential. Knowledge of German and of any other official IAEA language (i.e. Arabic, Chinese, French, Spanish or Russian) is an advantage.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €35 512 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
