CIFOR is looking for an
 
Executive Officer for the Director General’s Office.
 
Under the supervision of the Director General, the Executive Officer will provide effective and efficient support to the Director General in all aspects of his/her role, requiring substantial initiative and judgment.
 
Duties and responsibilities:
 
  • Proactively assist the development and formulation of decisions and policies by the Director General; follow-up and ensure that these are implemented.
 
  • Manage, act on and follow-up of matters requiring the attention of the Director General, especially during his/her absence, using own judgment and following appropriate consultation.
 
  • Manage the agenda (including schedule and task list) of the Director General, with special attention to, and briefing on, issues and priorities regarding external meetings.
 
  • Act as a focal point for issues affecting the immediate Office of the Director General, including liaising with external agencies on protocol and administrative matters.
 
  • Liaise with all headquartered and decentralized units of the Center on matters that require the engagement of the Director General. Ensure effective communication and information flows within the Director General’s Office, and between the Director General’s Office and other parts of the Center.
 
  • Act as Secretary to committees and meetings chaired by the Director General, coordinate preparations of meetings, prepare minutes and coordinate follow-up in a timely manner.
 
  • Review, appropriately refer, or answer correspondence and independently handle internal and external requests for advice and information.
 
  • Establish and maintain office files.
 
  • Be responsible for all travel and travel-related arrangements for the Director General, including compiling or preparing information packages and briefing material.
 
  • Coordinate arrangements for meetings, seminars and conferences, including travel arrangements for participants when required.
 
  • Serve as primary supervisor to one Secretary in the DG’s Office, and provide leadership and coordination to secretarial teams in the DG’s Office and the organization more widely.
 
  • Other duties as assigned.
 
Requirements:
 
Education, experience and technical skills:
 
  • A relevant university degree or equivalent qualifications and experience.
 
  • At least 5 years of professional experience relevant to above tasks in an international working environment.
 
  • Strong computer skills in word processing and other relevant office applications and software packages (i.e. Microsoft Word, PowerPoint, Excel and Access).
 
  • Excellent and demonstrated command of the English language, both written and spoken is essential; knowledge of Spanish or French is an advantage.

  • Ability to work with a high degree of autonomy and to take initiative and exercise good judgment;
 
  • Demonstrated high degree of courtesy, tact, discretion, good judgment and ability to maintain confidentiality.
 
  • Competence in personal organization, priority setting and accuracy, with the ability to work effectively under time pressure and manage multiple priorities.
 
  • Superior interpersonal, communication, team-player and conflict-resolution skills, with experience of working effectively with people of different national and cultural backgrounds.
 
  • Strong service orientation, creativity, and capability to be flexible to respond to changing requirements.
 
Terms and conditions:
 
  • Competitive remuneration commensurate with skills and experience
 
  • The appointment will be for an initial period of three years (including one year probation) with the possibility of extension contingent upon performance, continued relevance of the position and available resources.
 
  • The duty station will be at CIFOR Headquarters in Bogor, Indonesia.
