1.0 MAIN OBJECTIVE
- Contributes to the overall development and growth of Sepam by providing timely and accurate financial data of the operations of the company.
- Prepares and implements the company’s financial policies, systems & procedures.
- Manages the cash flow of the company.
- Ensures that all third party contractual relationships are managed in a professional manner.
- Prepares the payroll of the company.
2.0 AREAS OF RESPONSIBILITY
- Generation of timely and accurate financial data
- Billing and collection of receivables.
- Management of the company’s cash flow.
3.0 SPECIFIC OBJECTIVE
3.1 Management of Costs
- Reviews commercial terms of contracts and reports;
- Ensures all costs are managed in line with the budget;
- Ensures creditors’ terms are in line with company guidelines;
- Ensures earliest possible invoicing and subsequent collection of payments;
- Reviews monthly all costs with a view to eliminating unnecessary costs;
- Ensures the accurate monitoring and control of overheads in particular, telephones / fax / internet, stationary, computer maintenance etc.;
- Ensures that company policy with respect to expense reimbursement is adhered to;
- Ensures that PO’s and Payment Requisitions are prepared and duly approved before any payment / disbursement is made.
3.2 Management Reports and Financial Accounting
- Prepares company annual budget;
- Prepares monthly income & expense statements;
- Prepares costing report;
- Prepares monthly cash flow;
- Prepares monthly a list of account receivable and payable and their ageing;
- Prepares monthly bank reconciliation reports;
- Prepares daily and monthly cash reports;
- Prepares annual financial accounts;
- Prepares forecasts of cash requirements vis-Ã -vis inflow of cash.
- Prepares all the above reports with complete notes on assumptions.
3.3 Policies, Procedures and Systems
- Formulates and implements financial and commercial policies and procedures for the company.
- Assists in reviewing and updating policies, procedures and systems.
- Maintains and sticks to a schedule of submission of reports; payments to government agencies and suppliers.
3.4 Statutory Reporting
- Ensures all government and statutory reports are kept up to date and correctly prepared.
3.5 Third Party Relationships
- Establishes good relationships with the company’s creditors, banks, suppliers and clients.
- Negotiates credit terms with suppliers.
3.6 Payroll
- Prepares and administers company payroll accurately and on time.
