The Federation of European Neuroscience Societies (FENS) is a federation of scientific non-profit societies throughout Europe, representing 18 000 scientists working in the field of neuroscience in Europe. FENS is looking for an assistant for the Executive Director’s office in Brussels. Her/his duties will mainly comprise of the supervision and coordination of the organization of scientific conferences and of administrative tasks for the Executive Director.

Job Objective

FENS organises every 2nd year the FENS Forum of Neuroscience, with 7 000 participants, and in alternate years a FENS Featured Regional Meeting (FFRM), with between 500-1 000 participants. The logistics of both types of meetings are ensured by a professional congress organizer (PCO). The task of the conference coordinator is to coordinate the work between the Executive Director, the various FENS committees, the PCO and the other FENS offices.

Qualifications and requirements

Language:

English is a prerequisite. The candidate must have a fluent command of spoken and written English for writing and proof-reading various documents and for communicating in English with international partners. Additional languages are not required, but French, at least, would be an advantage.

Administrative and other skills:

The candidate must have significant administrative experience and possess extensive organizational, interpersonal and communication skills.

The work requires:

  • use of secretarial software (Microsoft Word, Excel, etc.), familiarity with internet applications (e-mails, web publishing), telephone and video conferencing;
  • planning and preparation of ,and participation in, business meetings, e.g. with committees, the PCO etc. (preparation of documents and minutes, follow-up of decisions etc.) and provision of administrative support to committees;
  • promotion of the FENS Forum at other scientific conferences with a booth etc.;
  • some training in biology, although not required, could be advantageous.

The candidate must have experience working both independently and in a team-oriented, collaborative environment, and should be able to react to project adjustments promptly and efficiently. It is expected that the assistant will be able, with little delay, to work with a large degree of autonomy.

Previous experience working with a PCO company would be an advantage.

Around 3-5 years of work experience is required.

Location and Salary:

The position is to be held in Belgium, at the FENS office in the centre of Brussels, but the position requires unrestricted ability to travel to committee meetings or scientific conferences worldwide. The candidate should be willing to undertake training stays in the FENS offices in Berlin and Bordeaux during the initial training phase.

Salary range: 18 000 - 30 000€ net/year depending on experience,
