Diary Secretary United Kingdom Joint Delegation to NATO

A full time fixed term position as joint Diary Secretary for both the UK Military Representative (MilRep) to NATO and the EU and the UK Permanent Representative (PermRep) to NATO is vacant at the UK Joint Delegation to NATO in Brussels.

The main responsibility is to assist in the smooth running of the MilRep’s and PermRep’s outer office, by providing diary, secretarial and general office support, including to the MilRep’s Military Assistant and the PermRep’s Personal Assistant.

  • Manage the respective diaries of both the MilRep and the PermRep;
  • Manage the social diary requirements of the MilRep;
  • Provide typing support to the MilRep and the PermRep as required;
  • Assist with the escorting of visitors calling on the MilRep or PermRep;
  • Organise the PermRep’s travel bookings;
  • Provide telephone and message support to the outer office staff as necessary;
  • Book meeting rooms and assist with their preparation and dismantling;
  • Provide general office support as required, including faxing, scanning, and the indexing of documents;
  • Book VTC facilities as required;
  • Assist with the incoming and outgoing correspondence.

The successful candidate will:

  • Have proven previous PA/secretarial skills, preferably at a senior level, and able to deliver results;
  • Have excellent English oral and written communication skills;
  • Have strong IT skills;
  • Enjoy working in a team;
  • Have an open and flexible approach, drawing on the skills and experience of others to improve results;
  • Be prepared to work late but only on a specific occasional basis such as during meetings of Defence or Foreign Ministers, or Chiefs of Defence Staff meetings;
  • Have an understanding of French (desirable not essential).
This position will be subject to satisfactory completion of UK security checks, and be filled on a 4 year fixed term contract. Only British citizens who have lived recently in the UK are likely to fulfil the security requirements. Applicants must be legally entitled to work in Belgium.

Gross Monthly Salary: € 2241.27
