Executive Assistant

The Executive Assistant will provide high-level administrative level support to two senior executives. The primary responsibility of this role is to maintain their schedules, and to provide logistical and travel support. This position will report to the Chief Operating Officer and US Executive Director, and is based in our Washington DC office.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Scheduling – Maintain accurate and detailed calendars for the COO and US Exec Director; manage incoming scheduling and rescheduling requests; proactively communicate changes; anticipate and respond to scheduling conflicts.
  • Meeting Management - Organize internal and external meetings, including notifying attendees, reserving conference rooms, handling logistics, drafting and distributing agendas, and taking minutes, as needed; and collaborate with other assistants to successfully coordinate schedules across teams.
  • Travel – Manage international and domestic travel arrangements and reservations
  • Administrative Support - Receive and distribute incoming mail; review and evaluate mail to identify those items requiring priority attention; track and reconcile monthly credit card statements in a timely manner; complete and submit expense reports in a timely manner; screen telephone and written communications.
  • Provide special project support, as needed

SPECIFIC TYPES OF KNOWLEDGE, SKILL & EXPERIENCE REQUIRED

  • Bachelor’s degree and at least 3 years of experience providing high-level administrative support to executives
  • Proficient in MS Office, in particular, advanced Outlook scheduling
  • Experience with domestic and international business travel arrangements, coordinating meetings, and tracking credit card and other expenses
  • Detail oriented and able to successfully multi-task
  • Demonstrate poise and tact under pressure and handle matters with sound discretionary judgment and confidentiality
  • Positive interpersonal skills; ability to work with high-profile individuals externally, as well as, collaborate internally
  • Strong oral and written communication and telephone skills
  • Ability to maintain confidentiality and discretion with sensitive information
  • Works well under pressure and tight deadlines
  • Ability to work in a fast-paced, entrepreneurial – and sometimes unpredictable – environment
  • Knowledge of Capitol Hill is a plus
