Objectives

The mandate entrusted to the General Secretariat (SEGL) of the Bank Group consists primarily of the following: (i) providing secretarial services to the Board of Governors and Board of Directors and their subsidiary bodies, and managing relations between the Boards and Senior Management; (ii) coordinating statutory relations between Senior Management, the Boards and Member States; (iii) providing administrative and protocol-related services, as well as support services to Elected Officers; and (iii) planning, organizing and monitoring all events organized by the Bank. SEGL is also in charge of documentation services, archives, conference services facilities, as well as protocol-related services for the entire Bank. The specific responsibilities of the Senior Document Reproduction Clerk are to reproduce documents, as well as operate, maintain and repair reproduction equipment for various Bank documents.

Duties and responsibilities

Under the direct supervision of the immediate supervisor and the general supervision of the Division Manager (SEGL.1), the selected candidate will perform the following duties:

  • Registration: Register documents received for reproduction, indicating the title – the department – the number of copies – number of pages, etc.;
  • Operation: Operate a wide range of photocopying machines to reproduce the various Board documents, as well as other Bank documents and reports in various sizes and formats ;
  • Reproduction: Reproduce on rigid or transparent covers, as well as reduce and enlarge all documents ;
  • Collation: Manually or electronically collate documents printed with collators after proper arrangement;
  • Monitoring: Monitor copy quality to detect double sheets and other irregularities;
  • Binding: Bind some documents stapled together with stapling machines;
  • Maintenance: Dismantling machines for thorough cleaning: greasing – lubrication – overhaul and fine-tuning to prevent breakdowns;
  • Spare Parts Management: Manage a stock of spare parts and consumables for repairs and replacement of parts without problems, and especially to avoid company-imposed waiting periods;
  • Repairs: Identify breakdowns for repairs, look for other breakdowns, replace defective parts, and make adjustments;
  • Assisting operators: Intervene rapidly to help operators with printing problems. Ensure printing quality and provide explanations, where necessary;
  • Laboratory: Produce aluminum or electronic plates to process documents prior to printing–negative or positive films – editing;
  • Guillotine: Cut paper to required dimension.

(The incumbent of the position will be considered as local staff and will therefore not have international status)


Selection Criteria

  • At least a Bachelor’s or equivalent degree in document reproduction or related fields;
  • A minimum of four (4) years relevant experience in document reproduction;
  • Good professional knowledge of document reproduction techniques in multilateral development institutions;
  • Good organizational skills and detail-oriented;
  • Ability to effectively communicate in English and/or French, with practical working knowledge of the other language; and
  • Adequate skills in the use of Bank standard software (MS Office).
