Job Description

The Reproductive Health Supplies Coalition is a global partnership of more than 200 public, private, and non-governmental organizations dedicated to ensuring that all people in low- and middle-income countries can choose, obtain, and use affordable, high-quality supplies and related services to ensure their better reproductive health. Our Brussels-based Secretariat is staffed and managed by PATH, an international, nonprofit organization that helps communities around the world break longstanding cycles of poor health. The Secretariat also includes staff based at PATH’s offices in Washington, DC and Seattle. 

The RHSC Secretariat seeks an office assistant for front-office support, travel, and meeting logistics duties.

The activities of the post include the following:

  • Assist the office manager with front-office duties such as purchase and track office supplies, liaise with local services providers, manage filing systems (paper and electronic), incoming mail, etc. Assist in preparation of vouchers for office expenses;
  • Draft letters and memos in French and English;
  • Organize staff travel and prepare all necessary documentation including travel authorizations (RATs), advances and reimbursements (TERs) and secure necessary approvals;
  • Data entry, including members’ database and Coalition website;
  • Coordinate team meetings and teleconferences; prepare agendas, draft minutes, compile and organize relevant materials, make arrangements for and troubleshoot audio/visual connections, and facilitate post-meeting follow-up;
  • Draft correspondence to donors, partners, and collaborators including cover letters, thank-you letters, and general email correspondence;
  • Coordinate logistics for local and international conferences, workshops, meetings, and other events including equipment needs, communication tools (videoconference, Skype, LiveMeeting), catering, travel arrangements, hotel suggestions, taxicabs, and other details for staff and guests;
  • Maintain project calendars and staff travel schedules.

Required Skills

  • Excellent verbal and written communication and interpersonal skills;
  • Excellent computer skills using MS Office Suite required, additional software desired;
  • Well organized, effective support for multiple individuals, and adaptable to changing priorities;
  • Strong organizational skills, high level of attention to detail and effective under deadlines;
  • Ability to work in multi-cultural work environment;
  • Commitment to quality and service;
  • Fluency in English and French.

Required Experience

Associate’s degree, plus two years of directly related experience; or an equivalent combination of education and experience.
