Director of Human Capital Management and Administration PPF Pensions Fund

1.0 FINANCE TRAINEE (06 POSTS) – FGS 08 

Duties and Responsibilities i) To assist in examining validity and accuracy of the claims and supporting documents;
ii) To assist in the creation of invoices into Accounting Software in relation to members claims and monthly pension;
iii) To assist in maintaining records of claims and monthly pension; 
iv) To assist in printing of payment vouchers for approved payments;
v) To carry out any other lawful work related duties as assigned by supervisor.


Qualifications The ideal candidate should have a Degree in Accounting, Advanced Diploma in Accounting, professional Level II or any other related equivalent qualification from a recognized institution and must be computer literate. 

2.0 BENEFIT ASSISTANT/CONTRIBUTIONS ASSISTANT GRADE III(07 POSTS) – FGS 02 

Duties and Responsibilities i) To undertake initial calculations of claims;
ii) To record all claims;
iii) To maintain the Master Claim Register;
iv) To Cross – Check members particulars;
v) To batch benefit claims;
vi) To carry out any other lawful work related duties as assigned by supervisor.

Qualifications The ideal candidate should have a Certificate in Social Security, Business Administration, Economics and Accountancy or a holder of National Form VI Certificate and must be computer literate.

PRINCIPAL RESEARCH OFFICER GRADE II (01 POST) – FGS 13 

Duties and Responsibilities i) To assist the Research Manager in the development of the research programs by keeping under review the relevant research field, provide literature reviews; ii) To provide research digests and updates and draft reports and papers for presentation and publication; iii) To liaise with other research institutions for all development issues of the Fund; iv) To develop and manage an annual programs of research, investigations and reviews; v) To conduct staff supervision, appraisal and coaching; 

Qualifications The ideal candidate should haveMasters Degree or postgraduate Diploma in Economics, Statistics or Finance Management or any other related qualifications from a recognized institution and has served in a relevant field for at least five years and must be computer literate.

PRINCIPAL PROPERTY OFFICER GRADE II (01 POST) – FGS 13 

Duties and Responsibilities i) To prepare a report on quarterly basis on comparative performance of the three major assets i.e. Properties, Fixed Income Assets (FIA) and equities; ii) To manage service provider’s performance to ensure highest standard of service and efficiency; iii) To negotiate contracts for external property managers with the assistance of a technical expert; iv) To advice the Investment Manager on all property management issues; v) To consult with the Property Manager, and to be responsible for arranging maintenance and repairs to properties that are to be carried out expeditiously, economically and to an acceptable standard; vi) To conduct staff supervision, appraisal and coaching. 

Qualifications The ideal candidate should haveMasters Degree or postgraduate Diploma in Economics, Finance Management, Estate Management, Land Economics/ Management or any other related qualifications from a recognized institution and has served in a relevant field for at least five years and must be computer literate.


3.0 PROPERTY OFFICER GRADE II (01 POST) – FGS 09 

Duties and Responsibilities i) To valuate land for investment purpose during market research and feasibility study. ii) To valuate current property investments, perform returns analysis and recommend action for better performance; iii) To prepare monthly reports on property management performance; iv) To assist in the preparation of Plan and Budget; v) To monitor costs related to properties (such as maintenance), use of service charge and produce return analysis; vi) To carry out any other lawful work related duties as assigned by supervisor. 

Qualifications The ideal candidate should have Degree or Advanced Diploma in Estate Management, Land Economics/Management, or its equivalent from recognized institution coupled with at least a minimum of three years working experience in relevant field and must be computer literate. 

4.0 OFFICE ASSISTANT GRADE IV (02 POSTS) – FGS 01 

Duties and Responsibilities i) To collect and dispatch letters and other messages to relevant staff; ii) To control movements of documents and files; iii) To make sure that confidential information do not leak at all; iv) To record letters in the inward and outward registers; v) To perform some registry duties e.g. the sorting of letters and arranging of file; i) To prepare refreshment for Fund visitors, Senior officials and during meetings; ii) To run errands for the department assigned; iii) To carry out any other lawful work related duties as assigned by supervisor. Qualifications The ideal candidate should have Form IV Certificate with good passes who is honest, clean and must be computer literate. 1.0 TELEPHONE OPERATOR/RECEPTIONIST GRADE III(01 POST) – FGS 02

Duties and Responsibilities i) To receive all guests and direct them to the appropriate office. ii) To ensure that all guests are received in a good manner; iii) Receives all incoming calls, forwards calls to appropriate person, ensures that callers reach appropriate staff; iv) Make and record all outside calls on behalf of Fund staff; v) To keep detailed and updated records of calls made through the switchboard; vi) To ensure that telephone bills correspond to switchboard usage; vii) To ensure that private calls are paid for; viii) To report to the supervisor on defects of telephone and to ensure security of the switchboard; ix) To carry out any other lawful work related duties as assigned by supervisor.

Qualifications The ideal candidate should have Advanced Certificate of Secondary Education with good passes in English and Kiswahili and who have certificate in Telephone Operations/Basic Customer Care with at least three years post qualification experience and must be computer literate.

2.0 OFFICE MANAGEMENT SECRETARY GRADE III(02 POSTS)–FGS 08 

Duties and Responsibilities i) Efficient and effective operation of office equipments such as telephone, computer, fax and copier. Handling of delicate matters requiring official secrecy i) Provide word-processing and secretarial support; ii) To work with members of Management, (as allocated from time to time). iii) To carry out any other lawful work related duties as assigned by supervisor 

Qualifications By appointment of holder of Form IV certificate who has attended a three years Pre-Service or/and In-Service Secretarial Course from recognized institution course and attained Stage III, i.e. Typing speed of not less than 50 w.p.m., Manuscript Stage III, Tabulation Stage III, Office Management Stage II and Secretarial Duties Stage II plus Kiswahili or English Shorthand 80/100 w.p.m. Must have good communication skills, computer skills and experience of five years
