Background / General description:
The World Bank Group’s Investment Climate Department (CIC) assists governments of developing countries and transition economies in reforming their business environments, with support focused on reforms that strengthen business environments and the investment climate (IC) at economy-wide as well as industry/sector level. The department collaborates extensively with other teams across the World Bank Group in the design and delivery of advisory services and other operational work related to investment climate reform, and develops IC knowledge products for staff and clients.

Serving as the global backbone of the Bank Group’s IC activities; CIC: (i) anchors the Investment Climate Business Line (one of IFC's four Advisory Services Business Lines), and handles the global dimension of its work; (ii) anchors the Investment Climate Global Practice of the Bank's Financial and Private Sector Development Network (which covers six Practices); (iii) implements MIGA’s technical assistance mandate, and (iv) manages the multi-donor Facility for Investment Climate Advisory Services (FIAS), a global funding and partnership platform for IC reform. In addition, CIC also manages the following programs for IFC: (v) the Health in Africa (HiA) initiative (in collaboration with AFTHD), (vi) the Water Resources Group (WRG) (in collaboration with CNGWA and other WBG units), (vii) a new program on private participation in infrastructure (in collaboration with C3P and other WBG units), (viii) and the coordination function for IFC’s work on fragile and conflict-affected countries (jointly with CTGDR).

CIC is organized into four main units, reflecting four global service or product lines: Business Regulation, International Trade and Investment, Investment Climate for Industry, and Private Participation in Infrastructure and Social Sectors, as well as a unit dedicated to Africa (CIC is co-managing IFC’s IC work program in Sub-Saharan Africa), an Operational Support unit, and a unit supporting FPD’s Global IC Practice.
Duties and Accountabilities:
To assist in the execution of its work program, CIC is looking for a dynamic, proactive and highly motivated Team Assistant (TA) to provide a full range of administrative support and contribute to the team’s overall objectives. The TA will report to the CICTI Manager.

Duties will include but not limited to:

• Providing administrative support to a number of officers and specialists in CICTI and the assistant to the CICTI Manager. This includes managing calendars and coordinating schedules, taking priorities into account; following up on urgent matters and communicating information to appropriate staff inside and outside the unit; reviewing and prioritizing administrative workflow for teams.

• Planning and coordinating meetings, interviews, conferences, workshops, retreats and learning events; arranging teleconferences and videoconferences between HQ and field offices. Preparing/printing background materials for meetings and conferences; following up and compiling interview reports for submission to HR.

• Drafting routine correspondence and proofreading materials using proper grammar, punctuation and style. Incorporating agreed comments into documents, making full use of software capabilities.

• Assisting in travel arrangements of staff and consultants, including making travel booking with Amex and processing trip requests and statements of expenses in SAP.

• Managing and maintaining filing system for the team; creating and filing project documents in iDocs. Maintaining the department’s group distribution lists.

• Assisting staff in basic troubleshooting of software problems; preparing laptops and other equipment for presentations.

• Screening telephone calls. Responding to internal and external queries using initiative and good judgment

• Undertaking ad hoc assignments, including providing support to other staff as needed, and back-up support during the absence of ACS staff in the department.
Selection Criteria:
Minimum education: High School diploma.

• Strong verbal and written communication skills.

• Good knowledge and use of all relevant software (Word, Excel, PowerPoint, Lotus Notes Calendar, etc).

• Quick learner, proactive and self-starter, with excellent organizational skills. S/he should be able to work independently after a bit of mentoring.

• Good interpersonal skills to deal tactfully with internal/external clients at all levels and proven ability to work effectively in team-based and multi-cultural environment.

• Demonstrated degree of initiative and reliability, with ability to develop practical approaches to improve office effectiveness.

• Ability to prioritize work when working on multiple assignments and deliver assignments in a timely manner often under severe time pressure.

• Familiarity with Bank policies and procedures.

• Flexibility with working hours.

• At least 3 years of relevant experience.
