Organizational Setting

The Division of Conference and Document Services is one of the six Divisions in the Department of Management. One of the main functions assigned to the IAEA under its Statute is the exchange of information and the dissemination of knowledge in the nuclear field among its Member States. Publications represent a major vehicle for disseminating the output of the IAEA's scientific and technical work. The IAEA has an extensive publishing programme, implemented by its Publishing Section, which produces a wide range of publications on nuclear related issues in both print and electronic formats.

The Publishing Section is responsible for preparing publications from manuscripts approved by the Director General, the Board of Governors and the Publications Committee. The Editing Unit coordinates the editorial services for IAEA scientific and technical manuscripts, various documents of the Policy Making Organs (PMO) and the Director General's Office for Policy (DGOP), as well as certain advocacy materials.

The operating environment is dynamic, participative and interactive, with inputs in the form of manuscripts of scientific/technical publications, policy-related documents and advocacy items originating from different parts of the house.

Main purpose

To manage the overall workflow of the Editing Unit, supervise the Unit's editors and editorial assistants and co-ordinate the work assignments of freelance editors; ensure that the IAEA's quality requirements and standards are being met in all IAEA publications and policy-related documents and that customers receive professional, efficient and expeditious editorial services that are responsive to their particular needs; carry out detailed editing of complex scientific/technical manuscripts and, as required, of policy-related documents and advocacy materials, in compliance with international scientific editing and publishing standards and the IAEA's publishing policies and practices.

Role

The Unit Head is (1) a manager, directing the overall workflow of the Editing Unit, supervising its staff and coordinating the work assignments of freelance editors; (2) a service provider, ensuring the expeditious and efficient delivery of professional editorial services to customers from throughout the IAEA; (3) a quality control specialist, overseeing the implementation of the IAEA's high quality editorial standards in the preparation of all English-language publications; (4) an editorial adviser, providing guidance to technical officers on the preparation of IAEA publications; and (5) an expert professional editor, reviewing and revising complex scientific and technical manuscripts, as well as policy-related documents and advocacy materials, in compliance with international scientific editing and publishing standards and the IAEA's publishing policies and practices.

Partnerships

The Unit Head interacts with scientific and professional staff throughout the IAEA, as well as with the Publications Committee (through the Publishing Liaison Officer), in facilitating and implementing the editorial review and revision of technical manuscripts, policy-related documents and advocacy materials; he/she works with members of the Editing Unit and a selection of freelance editors in ensuring the highest linguistic quality of all IAEA materials published in English; he/she also cooperates with other staff of the Publishing Section (desktop publishing operators, graphic designers, digital printing operators, web specialists, marketing and sales assistants) in the preparation of IAEA publications, policy-related documents and advocacy materials.

Functions / Key Results Expected

  • Manage and direct the work of the Publishing Section’s Editing Unit and ensure that customers receive professional, efficient and expeditious editorial services that are responsive to their particular needs.
  • Supervise the Unit's editors and editorial assistants and coordinate the work assignments of freelance editors;
  • provide editorial support, advice and feedback to new staff editors; evaluate the work of freelance editors.
  • Liaise with manuscript originators and provide advice and guidance on the preparation and presentation, in electronic or paper formats, of IAEA scientific and technical publications, as well as policy-related documents and advocacy materials (as required).
  • Review and edit complex scientific and technical manuscripts in English, as well as policy-related documents and advocacy materials (as required), in compliance with international scientific editing and publishing standards and the IAEA’s publishing policies and practices.
  • Provide editorial quality control by ensuring the implementation of the IAEA’s editorial standards in the preparation of all English-language publications.
  • Coordinate and oversee the production and publication of the IAEA’s Annual Report.
  • Coordinate the editorial assistance provided to the Deputy Director General for Management on request.

Knowledge, Skills and Abilities

  • Professional expertise:
    • Excellent editing skills in English; proven ability to edit complex scientific and technical texts, graphics and figures on-screen using MS Word;
    • Expert knowledge of editorial and book publishing techniques and practices, for both electronic and print formats;
    • Ability to deal effectively with the dual requirements of quality and timeliness in the production of IAEA publications;
    • Organizational and planning skills and proven ability to establish and follow through on priorities and firm deadlines;
    • Supervisory skills and proven ability to lead a team of professional editors and support staff.

Education, Experience and Language Skills

  • Advanced university degree in English or a relevant scientific area.
  • Minimum of seven years of work experience in scientific editing and publishing, preferably with a science publisher. Experience in the publishing programme of an international, public sector or non-profit organization highly desirable.
  • Supervisory experience in the scientific editing area essential.
  • Complete command of English as mother tongue or principal language of education, with a thorough knowledge of its semantics, grammar and style.
  • Working knowledge of another official IAEA language (i.e. Arabic, Chinese, French, Russian or Spanish) desirable.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at US $67 483 (subject to mandatory deductions for pension contributions and health insurance), a variable post adjustment which currently amounts to US $40 220*, dependency benefits, rental subsidyeducation grantrelocation and repatriation expenses; 6 weeks' annual vacation, home leave,pension plan and health insurance.
