INTERPOL is the world’s largest international police organization, with 190 Member Countries. Created in 1923, it facilitates cross-border police co-operation, and supports and assists all organizations, authorities, and services whose mission is to prevent or combat international crime. INTERPOL is now looking for a qualified candidate Administrative Attaché in the Capacity Building and Training Directorate (CBT/TRA).

The incumbent shall work under the supervision of the Capacity Building and Training Principal Assistant and the Project Managers. She/he provides the overall follow-up related to the preparation of specific projects/files/budgets/activities handled by the Capacity Building Training, Research & Accreditation Sub-Directorate. The Administrative Attaché will also provide daily administrative and secretarial assistance to administrative matters concerning the CBT Directorate as a whole.


1. PRIMARY DUTIES
The Administrative Attaché will:
  • Assist in the development and implementation of externally funded programmes including the overall preparation of specific projects/files/budgets/activities and alerting hierarchy regarding all files which are not in compliance with the established time schedule and deadlines. Provide the regular follow-up and reporting regarding the implementation of the specific files/projects/activities.
  • Assist in the development and implementation of externally funded programmes including secretarial, administrative and budgetary assistance by ensuring the efficient preparation and administration of the correspondence and documentation needed for the daily work of the Sub-Directorate.
  • Assist in the development and implementation of externally funded programmes including logging in, treating, tracing, and filing all incoming and outgoing correspondence as appropriate. Follow-up with internal stakeholders and external funder to ensure that action is taken in a timely and effective manner.
  • Assist in the development and implementation of externally funded programmes including managing administrative relations with internal stakeholders and external funder; checking the form, presentation and spelling of all outgoing correspondence, requesting hierarchical review, and ensuring this correspondence is addressed in a timely manner.
  • Assist in the development and implementation of externally funded programmes and perform all other duties as may be directed by the hierarchy.

2. REQUIREMENTS
All candidates will be assessed on the under mentioned requirements.
2.1 Training/Education required

  • At least two years’ University education in secretariat, or equivalent relevant professional experience
2.2 Languages
  • Fluency in English is required
  • A good command of Spanish and/or French
2.3 Professional experience required
  • At least two years of experience in administrative/project related posts or other experience relevant and beneficial to the position.
2.4 Specific skills required
  • Working knowledge of Microsoft Office tools
  • Good command of spreadsheets/accounting applications, and experience in creation of presentations
2.5 Specific aptitudes required

  • Ability to cope with sudden increases in workload, and high degree of availability (may be required to work overtime or outside normal working hours)
  • Ability to work in teams as well as individually;
  • Ability to maintain good relations with members of the General Secretariat;
  • Proactive and demonstrates assertiveness ;

In addition to the requirements, the following Assets and Special Aptitudes would be beneficial
  • Knowledge of any other language
  • Experience in Capacity Building and Training as well as in an International Organization would be an additional asset.


3. WORKING CONDITIONS
The starting salary in grade 7 for a step 1 is EUR 2510 (+ Interim Cost of Living Allowance).

This post requires occasional travel on missions, sometimes of a long duration and at short notice.
The incumbent will also be required to work occasional overtime based upon workload.

* The Organization reserves the right to modify the Directorate and/or Sub-Directorate’s name and internal structure. This may have an impact on the functional title and reporting lines of this position.

** The Organization reserves the right to change the duty station proposed in the present circular at any time, subject to the rules in force.
