Objectives

The incumbent of this position will provide support to legal counsels of the Bank in issues related to organization, filing (both electronic and physical), safeguarding and retrieval of legal documents which may be in either of the Bank’s working languages. He/she will also maintain, manage and improve the archives (both electronic and physical) of the Department. The incumbent will contribute to the preparation of the annual budget.

Duties and responsibilities

The job holder’s main duties and responsibilities will include but are not limited to:

  • Entering legal data on loans and grants in the system (SAP) for all approved loans.
  • Registering data on loan agreements and other projects in a Bank’s tracking system.
  • Tracking records on Loan agreements and on other legal documents.
  • Drafting summary of Project brief to be registered in the SAP-PS.
  • Keeping Track of Board agenda and follow up on Board Resolutions.
  • Collecting data in GECL Divisions for public and private sectors for statistics purposes.
  • Keeping records of approved Loans and follow on any required action with Lawyers.
  • Follow up action on loans cancellation for both Public and Private sectors operations.
  • Follow up on Loans signature and their entry into force in SAP-PS.
  • Producing monthly and ad hoc reports using the SAP system for budget and other purposes.
  • Identifying and forwarding to the Bank’s archive center, documents to be archived.
  • Filing loan agreements and legal opinions.
  • Assisting in searching legal documents in SAP, DARMS and others resources.
  • Coordinating with user departments, transmission of loan agreements and related documents.
  • Liaising with the Legal Department’s secretariats, for organizing, scanning and filing, and safeguarding loans agreements and other legal documents in hard copy and electronic version.
  • Maintaining, organizing and improving the filing system of the department for speedy retrieval of documents if need be.
  • Retrieving loan agreements and other legal documents and Bank’s policy documents as required by the Division Managers and legal Counsels.
  • Taking notes at meetings and prepare minutes as requested.
  • Contributing in the preparation of the annual budget.
  • Assisting in the programming of legal operational activities by using the appropriate software, and producing the Department’s various reports such as: reports related to active loans and grants, etc.
  • Performing any legal operation tasks to support legal counsel in the performance of their functions.

This Position Does not Attract International Terms and Conditions
(The incumbent of the position will be considered as local staff and will therefore not have international status)

Selection Criteria

  • A minimum of a Bachelor’s degree in Information Management, accounting, economy, Law or related discipline.
  • Preferably a minimum of five (5) years of progressively relevant and practical experience.
  • Good budgeting and planning skills will be highly desirable.
  • Strong customer service skills, good organizational skills, ability to multitask, attention to details.
  • Discretion and ability to maintain the highest degree of confidentiality.
  • Excellent written and verbal communication skills in French and in English.
  • Competence in the use of the Bank’s standard software (SAP, Microsoft Word, Access and Power Point) including expert competence in SAP and Excel.
  • Good typing skills and highly desirable with excellent levels of initiative, enthusiasm, team spirit and organizational and interpersonal skills.
