Administration Executive in India


Make A Difference (MAD) is a platform that empowers youth to become change leaders who drive positive impact and create self-sustaining communities. We are committed to provide equal opportunities for all children and our vision is that some day every child can learn and pursue their passion.
MAD is based in Bangalore, India and operating in 23 cities across the country. Today it is one of India’s largest youth volunteer networks. 1200 volunteers participate in our projects and work with over 3000 children in 50 centers.
Our projects aim to provide a positive learning ecosystem for children in order for them to regain confidence and start believing in themselves. We currently run an English Teaching, Library, Career Awareness and Personality Development Program.
PURPOSE
We are looking for a young and dynamic person to join our team and take on the responsibility for all administrative tasks of the national office as well as for the operations and logistic management on a national, regional and city level.
RESPONSIBILITIES
Office Management - Manage the maintenance of the office space, infrastructure and equipment and arrange for all necessary repairs - Arrange installation of telephones and other utilities - Renew all service contracts - Ensure payment of electricity, internet and other bills - Ensure security of office, staff, and physical assets belonging to the organisation
Logistics - Make arrangements for all logistical requirements incl. travel and overnight stays for employees - Make strategic tie-ups with national wide partners for travel and courier logistics - Coordinate staff meetings, events and conferences and manage all logistic related activities - Organize national distribution of materials as required from project heads
Financial Administration - Petty Cash Management - Disbursement of work related expenses - Submit monthly expense reports to Finance Department
Administration - Maintain and update attendance records - Develop and update central filing system - Arrange for postal delivery of items when required - Receive postal deliveries, maintain post register and distribute items accordingly - Conduct need assessment for improvements in the administrative processes - Manage cleaning and cooking staff and dietary requirements of employees
Other duties as assigned
REPORTING STRUCTURES
The Administration Executive reports directly to the Finance Director and is responsible for the supervision of all administration support.
REQUIREMENTS
Education and Experience - Bachelor’s degree in any field - 2 years related experience in administrative and logistical roles
Skills and Abilities - Excellent oral and written communication skills in English, Hindi and Kanada - Advanced level of MS Word, PowerPoint, and Outlook skills. - Excellent organisational skills and ability to prioritise - Detail oriented and work with a high degree of accuracy - Ability to multitask and meet deadlines - Excellent interpersonal skills - Ability to develop and maintain both internal and external relationships - Understanding of the NGO sector is an asset - Entrepreneurial spirit
