Administrative Officer, GIZ Office Dhaka


On behalf of the German Government, GIZ Bangladesh invites applications from qualified candidates to fill in the position ofAdministrative OfficerGIZ Office Dhaka, Position-1, post with duty station in Dhaka.
Responsibilities
  • Dealing with all basic questions arising in this area
  • Identifying administrative problems and issues and assisting in formulating implementation-oriented solutions
  • Monitoring the assigned internal admin areas of works properly to ensure its smooth functioning and cost effectiveness
  • Managing the knowledge by disseminating and documenting know-how, experience and information
  • Contribute further in developing the Internal Admin division.
Tasks
  • Monitor and Supervise the activities of the service providers' task (eg. regular and weekends)
  • Ensure regular monitoring and maintenance of office equipments like; Generators, Sub-stations, Elevators, ACs, Photocopier, Fax and other equipments/machines
  • Ensure administrative emergency nature of works of the office / projects are done very promptly
  • Maintains and updates the maintenance database for equipments (eg. Tasks, Price, Rates etc.) and analyse them
  • Monitor and overview the vehicles parking space, carpool, drivers, vehicle support, outsourcing etc.
  • Ensure the cost effective and on time maintenance of the Office facilities
  • Ensure housekeeping and others equipments are updated and functional
  • Demonstrate proactivenes in achieving the admin deliverables and results
  • Performs other duties and tasks at the request of the management
Required qualifications, competences and experience
Qualifications
Formal Education
  • BA/MA in business administration, or sociology (preferably with a focus on Administration and engineering background) or comparable degree
  Professional experience
  • At least 2-3 years of professional working experience in a similar position
  Other knowledge, additional competences
  • Good working knowledge of ICT technologies (eg. phone, fax, email, internet etc.) and computer applications (e.g. MS office, MS Excel, Power point etc.)
  • Good knowledge on Administration with initial work experiences
  • Brilliant interpersonal skills with team playing aptitude
  • Good Language skills (both in writing and speaking)
  • German Language skill will be an added advantage
  • Willingness to up-skills as required by the tasks to be performed – corresponding measures are agreed with management
