Organizational Setting

The Division of General Services is one of the six Divisions in the Department of Management. The Division of General Services provides service functions through the Director's Office and five Sections: Facilities Management, Seibersdorf Facility Management, Archives and Records Management, Transport and General Support, and Commissary Management.

The Technical Support Services Group (TSSG) in the Facility Management Section provides technical services for IAEA meetings and conferences in Vienna International Centre (VIC) and the Austria Centre Vienna (ACV) to ensure smooth operation of conference rooms and meeting facilities.

Main Purpose

Under the supervision and guidance of the Supervisor, Technical Support Services Group, the Multimedia Electronics Assistant shall operate, maintain, repair, and modify multimedia and electronic equipment, and video conference systems in support of various IAEA meetings and conferences.

Working Relationships

Contact with staff at all grades and levels to obtain clarification of requests; provide explanation of equipment systems; advise and recommend most efficient methods or services to address customer problems, issues, and requirements. Review work performed by contracted Technicians assigned to assist in large conferences/meetings such as the lighting system and stage set-ups.

Functions / Key Results Expected

  • Operate, install, maintain, troubleshoot and repair multi-channel interpretation, audio/video equipment and multimedia computer presentation systems at meetings and conference rooms.
  • Re-install conference related equipment and systems after re-configuration of VIC conference rooms, program and test the new setups.
  • Operate and administer the IAEA Digital Records Library.
  • Set up, operate and service worldwide video conferences and video job interviews; set up, operate, service and maintain video conference systems in conference rooms. Guide customers in video conferences.
  • Coordinate, distribute, set-up and collect multimedia equipment in small meeting rooms and to keep proper documentations of these items.
  • Backstop for other colleagues and perform any other work connected with the post.

Knowledge, Skills and Abilities

  • Very good knowledge of installation, maintenance and operation of simultaneous interpretation equipment, digital recording, sound system, TV, video, computer projection and video conferencing equipment is required.
  • Excellent interpersonal and customer skills: Ability to work effectively in a team with peers as well as with vendors and colleagues in a multicultural environment and to interrelate in a customer-friendly fashion with staff at all levels as well as with external counterparts.
  • Ability to establish and maintain smooth working relationships with colleagues and a wide range of outside contacts in the multimedia and conference related sectors.
  • Good communication skills: Ability to convey verbal information effectively with requestors and vendors.
  • Good organizing skills: Ability to prioritize work assignments, meet deadlines, and adapt to constantly changing demands and multitasking. Ability to manage a heavy workload under time pressure with accuracy and reliability.
  • Analytical skills: Ability to use initiative and judgment appropriate to situations related to customers complaints.
  • Competence in the use of Microsoft Office 2010 (Outlook, Word, Excel, PowerPoint) which is the IAEA's standard, and ability to use databases.

Education, Experience and Language Skills

  • Completed secondary education with a diploma, or equivalent, in multimedia electronics / telecommunications.
  • Minimum of five years of experience with multimedia or conference related systems, three years of which in an international organization.
  • English Language Test (Level 2) and English Typing Test (Level 2) to IAEA standard.
  • Excellent command of written and spoken English. Knowledge of other official IAEA languages (i.e. Arabic, Chinese, French, Russian, Spanish) an advantage. Knowledge of German highly desirable.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €39 880 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
