Special Tribunal for Lebanon Administrative Assistant


Depending on professional background, experience and family situation, a competitive compensation and benefits package will be offered. The successful applicant will be offered a fixed-term appointment of one year limited to the Special Tribunal for Lebanon (STL). This appointment and any subsequent extension(s) are subject to terms of the Tribunal’s mandate and/or the availability of the funds. The Special Tribunal for Lebanon is an international inter-governmental organisation with its own independent legal identity and not a UN organisation. However, STL follows the UN common system for benefits and entitlements to its staff members. UN staff members may also serve on loan from their parent department/office, if selected. Appointment against this post is on a local basis.
NOTE: The Tribunal reserves the right to hire on either a part-time or full-time basis, subject to requirements.
RESPONSIBILITIES:
Under the supervision of the (Senior) Legal Officer and the Judges, the incumbent performs a wide range of office support and administrative functions as follows:
• Prepare and finalise responses to correspondence and organise logistics for distribution or delivery. • Organise transport and arrange accommodation for Judges for their official travels. • Maintain calendar/schedules, monitor changes and communicate relevant information to appropriate staff inside and outside the immediate work unit. Follow-up on pending actions. • Provide secretarial, administrative and logistical support to meetings, boards, committees, conferences and other in-house events, if required.
• Handle telephone calls and enquiries, and refer them to the appropriate staff member. • Receive and make necessary arrangements for Chambers’ visitors. Coordinate transportation when staff members have meetings outside the Tribunal. • Coordinate shipping arrangements, mail delivery and courier services. • Serve as Leave Monitor for Chambers. Prepare and update leave and attendance records. • Prepare administrative requests/documents (e.g. travel requests, travel claims, translation requests, visa applications, etc.). • Maintain files, both paper and electronic. • Assist in providing office equipment, support, technology support and stationery for staff of Chambers. • Perform other general administrative tasks as assigned.

QUALIFICATIONS:
• Education: High school diploma or equivalent. Post secondary coursework, training and/or certification as an administrative assistant/secretary is highly desirable; demonstrated ability to use computer technology with competence in Microsoft Word, Excel and Lotus Notes. • Work Experience: At least five years of progressively responsible experience in a demanding front- office setting. Experience with an international tribunal is highly desirable. • Languages: Arabic, English and French are the official languages of the Special Tribunal for Lebanon. For this post, proficiency in oral and written English or French is required. Working knowledge of the other is highly desirable; knowledge of Dutch will be considered an asset.
