Human Rights Watch is seeking an Associate to be responsible for providing a high level of professional day-to-day support to ensure the smooth and efficient running of HRW’s Toronto office. This position reports to the Canada Director in the Toronto office, and will also work with the Associate Director of Administration in New York.
Responsibilities:
1. Act as the local Finance representative and assist with the implementation of Finance policies locally;
2. Record all monthly financial activity into the organization’s financial systems;
3. Process financial transactions, donations, monthly bill payments, expense reimbursements and disbursements;
4. Run internal and external financial reports;
5. Maintain the smooth and effective functioning of the office;
6. Handle general office maintenance and facilities;
7. Deal with suppliers and providers and negotiate commercial and services contracts in a cost effective manner;
8. Respond to public queries and visitors;
9. Performing general office maintenance including stocking office supplies;
10. Ensure office safety standards are in compliance with local regulations;
11. Oversee office moves, configuration and space sourcing;
12. Liaise with the IT/helpdesk to troubleshoot computer problems and back up and update network files as necessary;
13. Liaise with the IT or local phone service and internet provider to troubleshoot phone and internet problems including assisting in local IT contracts and equipment with external vendors;
14. Assist the Toronto office development staff with donor relations and fundraising programs;
15. Format and distribute documents;
16. Draft and edit correspondence, maintain a unified filing system, contact lists and databases;
17. Retrieve and respond to information requests, answer phones, distribute mail, organize mailings, distribute publications, and assist in event coordination.
Qualifications:
Education: A bachelor’s degree or equivalent training in business administration, nonprofit management, international relations or a related field is required.
Experience: Prior administrative or operations experience in a demanding and fast paced environment is required.
Related Skills and Knowledge:
1. S/he must demonstratevery good organizational, administrative and financial skills.
2. S/he will have good interpersonal skills, high energy and attention to detail.
3. Ability to work well under pressure, while juggling multiple tasks simultaneously, is essential.
4. Ability to take initiative, prioritize with minimal supervision and work independently as well as function as a member of a team.
5. Excellent oral and written communication skills in English are required; proficiency in additional languages is advantageous.
6. Experience with Raiser’s Edge database is desirable.
7. Good judgment, discretion and the ability to maintain confidentiality are essential.
8. Proficiency in computer packages including MS Office applications.
Other: Applicants for this position must possess current Canadian work authorization valid for a minimum of two years from start date.
